Support Staff Full-time New Position

Under the direction of the Manager - Utilities, Sustainability & Facilities Information Systems, the incumbent is responsible for providing support and maintaining all facilities-related data and information systems (Colleges Ontario Facilities Space Inventory (COFSI), asset management database (VFA), CMMS) as well as municipal documentation including Fire Safety Plans.

The individual also maintains a building inventory system and provides facilities information to the Director, Managers, and other departments.

Responsibilities:

  • Maintains the Colleges Ontario Facilities Space Inventory (COFSI) database
  • Obtains space changes from Construction Services
  • Ensures accuracy of drawing measurements (asbuilt)
  • Ensures database is updated monthly
  • Provides input to COFSI reports to Colleges Ontario and the Ministry
  • Obtains changes, additions, and new build asbuilt drawings from Construction Services
  • Ensures all digital and hard copy facilitiesrelated drawings are up to date
  • Facilitates and maintains asset management database updates
  • Supports the yearly audit of facilities assets through outside audit consultants
  • Reviews audit information for accuracy and completeness
  • Develops and supports Dashboard Applications
  • Supports Construction Services by providing current and accurate data and information and occasionally providing drawing services.
  • Updates and maintains information for Conestoga's owned and leased properties including legal surveys, topographical surveys, stormwater management studies and information, etc
  • Coordinates software updates and upgrades to Archibus System as needed, including user setup
  • Provides support to the installation, testing and maintenance of Archibus software to service the needs of the department and the College
  • Liaises with the IT Services and external vendors to troubleshoot and resolve system problems

Qualifications:

  • Threeyear Diploma/Degree in Building Engineering Technology, Data Management and Analytics, Business Management, Architectural Technology, or Facilities Management program
  • Five years of practical experience with database structure
  • Experience in using AutoCAD in a facilities management, architectural or facilities engineering firm or equivalent is required; experience with the most recent version is preferred
  • Autodesk suite (AutoCAD and BIM), Revit, and Microsoft Office suite certifications will be considered an asset
  • Demonstrated competence with data management principles and methods
  • Excellent computer skills including Excel and Access
  • Analytical skills with very high attention to detail
  • Advanced organizational, interpersonal and communication skills
  • Ability to work in a team environment within a complex organization
  • Ability to adapt to change
  • Time management skills
  • Knowledge of building architectural, mechanical, and electrical systems
  • Knowledge of site services infrastructure
  • Willingness to undertake safety training once on the job which may include WHMIS Training, etc.
  • Overtime work may be required including evenings and weekends for special events, operational shutdowns, etc.
