Position Summary:This role is a key resource to the Corporate Secretarial team. The main focus of the role will be providing corporate secretarial meeting support for IGM Financial subsidiaries.

Responsibilities include:Provide support for board and committee meetings, including preparation of agendas, meeting notices, logistics, bookings/reservations and tracking deadlinesAssist in the preparation and execution of Annual Shareholders and/or Securityholders Special Meetings, including all ancillary dutiesAssist in building and maintaining of meeting books and information materials on board portalAssist in the preparation of annual questionnaires and compiling of responses for annual disclosure documentsAssist in managing board portal records, charts, invoices and filesAssist in managing and coordinating VP and Corporate Secretary's calendar, travel and meetingsGeneral administrative duties including preparation of legal documents, minutes, correspondence, faxing, photocopying, shredding, maintain minute books and corporate records and reimbursement of travel expenses for Directors, etc

Qualifications:Minimum of 4 to 6 years of experience in a corporate or legal administration rolePost-Secondary education; Business Administration, Legal Assistant or equivalent is requiredExpert knowledge of Microsoft products such as Excel, Word and PowerPointExcellent organizational skills and the ability to deal with frequent interruptions and tight deadlinesAbility to work on multiple tasks and projects at the same timeWell-developed analytical and problem-solving abilitiesStrong oral and written communication skillsAbility to work independently and in a team settingSignificant overtime and travel with a high degree of accountability required

Additional Information:
The ideal candidate should be well-organized and able to work in a fast-paced environment. The candidate should be enthusiastic and have a strong willingness to grow and learn. The candidate will need to provide accurate work product and be able to multi-task and prioritize. The Specialist role will have direct interaction with Board Members and Executives; excellent communication skills, professionalism, along with the ability to work overtime and travel is extremely important.
