Reporting to the Dean, the Faculty Administrator is responsible for the successful day-to-day and long-term strategic administrative operations of the Faculty of Arts.


The Faculty Administrator ensures that all administrative, human resource management, and financial operations of the Faculty as a whole are completed according to policy and procedures and within established guidelines.

This position must be knowledgeable in all facets of the Faculty in order to provide the Dean with as much guidance and information as possible to ensure the ongoing healthy maintenance of the Faculty and its thirteen academic departments.


This position is responsible for the effective management and administration of the Faculty budget and provides leadership and guidance on various matters related to operations, fiscal and human resource requirements.

Working in collaboration with the Dean, Associate Deans, Department Heads and administrative staff, this position is responsible for assisting with or developing and implementing policies, procedures, or guidelines for the many and varied programs offered by the Faculty of Arts.

This is a problem-solving role, with the requirement to exercise judgment and provide leadership.

It supports academic strategies by providing administrative leadership and support to the Faculty in strategic administrative planning, management of services, and optimal resource allocation.

This position requires collaboration with multiple units across campus including other faculties and the federated colleges.

Responsibilities include, but are not limited to:

  • Manage Arts processes for financial forecasting and budgets, and oversee the preparation of all financial reporting;
  • Analyze past expenditures and trends to make recommendations to departments and Dean;
  • Provide direction and respond to all questions and concerns of departmental staff and faculty (to over 150 fulltime and parttime employees at any given time); issues pertaining to Faculty and University processes and procedures, budget, travel/approvals, financial transactions, payroll, sessionals, etc.;
  • Provide orientation to incoming Faculty leadership, including the Dean, Associate Deans, and Heads of departments and to current leadership re: administrative processes and budget/financial information;
  • Monitor department and Faculty budgets, verifying salary budgets, fallin, expenditures, etc. and followup with departments, Human Resources and Financial Services as necessary;
  • Ex officio member of Arts Budget Advisory Committee (BAC); in that capacity, gather and provide all teaching, staffing and financial data in support of BAC hiring and resource allocation recommendations;
  • Liaise with Office of Research Services and faculty members regarding research funds, CFI funding, any Faculty matching funds and track accordingly;
  • Provide advice, information and support to Faculty Council and Arts Administration group;
  • Develop and implement internal procedures and policies to ensure effective and efficient administrative support within the Faculty;
  • Manage/supervise either directly or indirectly 20+ administrative staff positions (CUPE, APT and OOS)

Duties include:
lead hiring processes, design and implement training and orientation; provide ongoing supervision; complete or ensure completion of performance evaluations; provide regular direction for processes to be followed and ensure compliance;

  • Oversee administration of course evaluation surveys across thirteen departments, with varied modalities and question sets, in accordance with University and Faculty policy and in compliance with the Collective Agreement;
  • Ensure Faculty of Arts compliance with all collective agreements for Arts employee groups (CUPE 2419, CUPE 5791, CUPE 5791 Research Employees, URFA-Faculty, URFA-APT) therefore must have indepth knowledge of all Agreements
  • Analyze resource allocations including requests for space and make recommendations;
  • Manage fixed assets; approve departmental purchases, purchases by employees (includes tracking and ensuring addition to/removal from database and getting values);
  • Responsible for the management of data and records for the Faculty.
Position Requirements

  • Completion of an undergraduate degree (or equivalent) in business, leadership, Arts, or related discipline with a minimum of eight years relevant experience in business administration, finance, or administrative services, preferably in an academic setting;
  • Knowledge and understanding of University policies and procedures particularly in the areas of finance and human resources;
  • Knowledge and understanding of financial policies and procedures of the University;
  • Knowledge of MS Office, especially Excel;
