This is a four-day-a-week position.
We are looking for a person who can commit to being on campus regularly.
However, the weekly schedule is flexible for self and family.
Do not be concerned that you do not have experience in all the job duties.
Being a quick study and a life-long learner matters; training and people development is a priority for us in ITS.
This is not a typical Administrative Assistant role as ITS is not a typical department.

Position Details At a high level: The Administrative Assistant in Information Technology Services is responsible for providing administrative and office support to the ITS Leadership Team, predominately the Director and the Managers.
Administration of software and hardware licensing, purchase orders, requisitions, invoices, service contracts, meeting scheduling, and other financial forms preparation as required by the department.
The Administrative Assistant will also provide general office support for the department, including taking minutes for ITS-related functional meetings.
Key Responsibilities: Managing Schedules Organize appointments, meetings, and events by scheduling, rescheduling, and preventing conflicts.
Preparing Documents: Assist in creating reports, presentations, and other necessary documents such as meeting minutes.
Proficiency in tools like Microsoft Excel, PowerPoint, SharePoint Online, and Teams is essential.
Maintaining Records Keep both digital and physical records organized.
Handle document management and record-keeping for the department.
Coordinating Travel Arrangements Strategize travel logistics, including booking flights, hotels, and rental cars, and coordinate the completion of expense claims.
Ordering Office Supplies Keep track of office supplies, restock as needed, and research new deals and suppliers.
Office Policies and Procedures Coordinate the revision of departmental policies and procedures on an annual cycle.
Providing General Support Act as a point of contact for internal and external clients, liaise with internal partners, and handle various requests and queries from our department, such as completing purchase requisitions and reconciling monthly credit card transactions.
Required Qualifications A diploma in office administration with experience working in a variety of software programs and applications.
A combination of education and experience may be considered.
Experience with an office productivity suite Preferred Qualifications Experience with Microsoft Office, Microsoft SharePoint collaboration tools, project management tools and Enterprise Resource Planning (ERP) platforms is preferred Familiarity with AI Generative tools is an asset Salary AUPE Class Level 8 Step 1 $25.69/hr Working Here Land Acknowledgement Located on the traditional lands of the Blackfoot Confederacy, Lethbridge College is committed to honouring the land from a place of knowing.
