Position Rationale:

​​The Administrative Assistant for Support Services plays a critical role in ensuring smooth division operations by providing comprehensive support in Technology, Facilities, Quality, and Training. Strong organizational skills, attention to detail, and excellent customer service are essential for success in this role. Additionally, the role involves supporting Highway Maintenance Contract pursuits and special projects as needed to help achieve the long-term strategic goals of Volker Stevin Highways.​

Position Accountabilities:

Generate Work Orders and Purchase Orders. Schedule routine facility maintenance and inspections. Review subcontractor invoicing and file relevant documents. Assist with the maintenance and management of wireless communication programs and devices. Monitor, track, and pull reports as required on employee required training within the TalentSpace platform. Assist in coordinating and tracking first aid training and hearing testing with third-party vendors.

Customer Service:

Understand various stakeholder groups interacting with the organization. Demonstrate a proactive, problem-solving approach to inquiries and concerns. Escalate issues for immediate response when necessary. ,

The ideal candidate for this position will possess the following:

Qualifications & Experience

High School (High school diploma). Proven experience as an administrative assistant or in a similar role. Strong organizational and multitasking abilities. Excellent communication and customer service skills. Ability to work independently and as part of a team. High attention to detail and problem-solving skills. Experience with wireless communication programs and mobile device troubleshooting is an asset.

Technical Requirements:

Proficiency with Microsoft 365 (Excel, Word, PowerPoint, Outlook, TEAMS & Forms). Knowledge of SharePoint software. Experience with an LMS, an asset. Proficiency in Work Management Software, an asset Experience with an ERP, Microsoft Dynamics 365, an asset.
