Triple Flag is seeking a full-time Executive Assistant & Office Manager to be located in Toronto, Canada.

Reporting directly to the CEO, the Executive Assistant & Office Manager serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO and serves as a liaison to the board of directors and senior management teams, organizing and coordinating executive outreach and external relations efforts. The Executive Assistant & Office Manager must be creative and enjoy working within a small environment that is mission-driven, results-oriented and community aware. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to manage multiple and changing priorities in a fast-paced environment.

The Executive Assistant & Office Manager will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion and efficiency.

The successful candidate will ideally have at least 5 years of experience in a similar role supporting both the CEO and/or managing an office environment.
 
The Executive Assistant & Office Manager is the first point of contact for externals and a critical resource for the team.
Completes a broad variety of administrative tasks for the President & CEO including: managing an extremely active calendar of appointments; Provides "gatekeeper" and "gateway" role for the CEO and support to the senior team.
Work with the Executive Team to coordinate the CEO’s outreach activities and follow up on contacts made by the CEO to cultivate ongoing relationships.
Act as the office point person planning anything from office lunches and birthday treats to large scale team meetings and workshops.
Manage travel and logistics details for staff (including conferences, meetings, hotels, flights, car rentals, restaurant reservations, etc.).
Complete monthly expense reports for corporate credit cards and cash expenses.
Keep the office tidy, organized, and well stocked with supplies.
Answer main phone line and respond to enquiries.
Significant experience supporting C-level executives and managing an in-person office.
Strong knowledge of Microsoft Suite.
Self-starter who is able to think outside the box and complete a high volume of tasks and projects.
Ability to meet deadlines, prioritize and manage multiple tasks and thrive in a fast-paced environment.
handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Team player, collaborative and resourceful, able to build and manage strong relationships.
Demonstrate a high degree of professionalism and discretion in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and partners.

Undergraduate degree, diploma, or significant years of experience.
This is a full-time position (5 days/week) based in Toronto; 4 days in the office and one day remotely, with a willingness to work in the office 5 days per week, as required.
