Role Description

This is a full-time on-site role for an Executive Assistant based in Mississauga, ON. The Executive Assistant will be responsible for providing comprehensive administrative support to the executive team. This includes managing calendars, scheduling meetings, preparing documents and presentations, coordinating travel arrangements, and handling expense reports. The Executive Assistant will also assist with executive support tasks and facilitate effective communication within the organization.

Key Responsibilities

  • Calendar Management: Coordinate and manage executive calendars, including scheduling meetings, appointments, etc
  • Communication: Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing communications. Draft/Proofread emails, letters and documents.
  • Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and meeting minutes.
  • Confidentiality: Handle sensitive and confidential information with discretion and professionalism. Maintain confidentiality in all interactions and communication
  • Project Support: Assist Executives with projects, research, and presentations as needed.
  • Office Management: Oversee office supplies, equipment, and facilities. Coordinate with vendors and service providers to ensure a well-functioning office environment.

Qualifications

  • Experience in Executive Administrative Assistance, Expense Reports, and Executive Support
  • Strong written and verbal communication skills
  • Excellent organizational and time management abilities
  • Proficient in using productivity software and office equipment
  • Attention to detail and problem-solving skills
  • Ability to maintain confidentiality and handle sensitive information
  • Prior experience in the healthcare industry or related field is a plus
  • Post-secondary education in Business Administration or relevant field is preferred
