POSITION SUMMARY

The HR Coordinator will be responsible for enhancing the employee experience at Stella-Jones by standardizing processes and improving engagement. Key responsibilities include developing and executing a comprehensive onboarding program, streamlining internal communication through various channels, and supporting initiatives to reduce turnover and increase employee engagement. The role will also involve leading the employee engagement survey, optimizing offboarding processes, and contributing to the DEI strategy. Additionally, the HR Coordinator will create content for internal resources, ensure smooth collaboration with external partners, and help drive overall improvements in employee satisfaction and retention.

Responsibilities

Head Office HR Support (40%):

  • Onboarding & Offboarding:
    Assist with the coordination of all onboarding and offboarding processes, ensuring a seamless transition for employees.
  • HR Point of Contact:
    Serve as the primary point of contact for employees at the head office, addressing HR-benefits or system-related inquiries.
  • STD Follow- up :
    Updates the files and do follow-up with employees in leaves
  • HRIS Management:
    Manage data entry, extraction, and reporting from the HRIS, including EEO reports, survey data, and exit interview data.
  • Process Improvement:
    Support initiatives to enhance HR processes, workflows, and systems, driving efficiency and effectiveness.

Quebec Compliance (20%):

  • 1% Training Law Management:
    Oversee the administration of Quebec’s 1% law by ensuring that training investments meet legal requirements.
  • EEO Program Support:
    Assist in the importation, updating, and management of the Equal Employment Opportunity (EEO) Program in Quebec, ensuring compliance with relevant regulations.
  • French Language Committee Management:
    Ensure compliance with language laws in Quebec by managing and supporting the French committee’s initiatives and reporting.

Project Support (40%):

  • HR Project Coordination:
    Act as a liaison between HR, Communication department, other departments, and external stakeholders, facilitating clear communication and smooth execution of HR projects.
  • Template Creation & Maintenance:
    Support the HR team in creating and updating HR templates, ensuring consistency across documents and processes. Review and update templates quarterly.
  • Intranet Maintenance & Updates:
    Update the employee space on the intranet with new or revised documents and policies.
  • Project Management Support:
    Maintain the planning and status of HR projects, ensuring timelines and objectives are up to date in working documents.
  • Coordination of Annual projects:

    Coordinate and support annual programs, including the Scholarship Program, Tuition Assistance Program, Leadership Development Programs, and survey rollouts.

QUALIFICATIONS

  • Minimum of 2 years of related experience
  • Proficiency in English, spoken and written
  • Proficiency in French, spoken and written.
  • Attention to detail
  • Ability to work independently and be flexible regarding work assignments
  • Proficiency in MS Office (Excel & Power Point)
