Bandology is a proud Canadian non-profit dedicated to supporting more music for more kids via education, collaboration and community. We are looking to hire someone in the role of Program Administrator to work collaboratively with the Bandology team to provide the business and administrative support for camp and workshop programming.

About the Job:

  • Responsible for Band Camp administration, including:
    • Manage communications with campers and parents
    • Communicate with venues and insurance companies
    • Coordinate guest conductors and clinicians for camps
    • Collaborate with staff to ensure all other guests are accounted for
    • Collaborate with camp directors to schedule camp staffing and timelines
    • Track camp inventory and manage gear at camp
  • Responsible for administration and implementation of current music workshops and percussion parties for a wide variety of ages, including:
    • Oversee percussion party client relationships, staffing and logistics
    • Manage communication with potential workshop clients, partner organizations and external stakeholders
    • Ensure internal workshop records are kept up-to-date
  • Coordinate agendas, staffing and logistics for the Programming Team and ensure effective communication
  • Track inventory and equipment sign-outs for the Programming Team and place orders when necessary
  • Collaborate with and support the Programming Team to ensure effective communication, delivery and development of Bandology’s programs
  • Deliver new workshop and instructional programming to clients if necessary
  • Review, monitor and update the website
  • Participate in three weeks of Band Camp in July/August and ensure that all campers have a fun and fulfilling experience

About You:

You do not need to be proficient in every single item on this list, so long as you are willing to learn on the job

  • Enrolled or graduated from a post-secondary program specializing in business or arts administration, management, communications or similar
  • 2-5 years direct experience in business, administration and/or management, either paid or volunteer
  • Excellent writing, research and interviewing skills
  • High attention to detail
  • Experience with instrumental music is a bonus but not required
  • Comfortable with public speaking, both in person and online
  • Excellent communication skills and ability to use compassion and tact when dealing with campers, parents and other community members

Skills to be successful in this job:

  • Comfortable working independently from your own personal space (Bandology is a virtual office) with regular in-person meetings and events (as appropriate) with access to your own computer with reliable internet connection
  • Experience with Google suite of programs, social media and public speaking
  • A wide base of transferable skills including organization, time management, self regulation, collaboration and leadership
  • The ability to work both independently and collaboratively with the team
  • Creativity – new ideas are welcomed at Bandology
  • A background in instrumental music, whether from music class, piano lessons or personal interest
  • A passion for music and a belief in the long-term value of music education
  • A police check and adherence to our vaccination policy (all staff must be fully vaccinated) will be required for the successful candidate

  • In addition to working with the staff team, staff may work with Board members from diverse backgrounds with varied experience who provide mentorship
  • All staff work together collaboratively during Band Camp weeks (July 8-12, 22-26 and July 29 to August 2) and are expected to attend in person for the full week

With funding from the Canada Summer Jobs program, this position runs for 16 weeks from May 6 to August 23 for 35 hours per week at a rate of $16.55/hour. Bandology reimburses staff for any approved expenses or mileage. The Canada Summer Jobs program requires that all successful applicants are between the ages of 15-30.
