We are seeking a detail-oriented and organized Administrative Assistant to support a team of Child Care Connect Licensing Officers and Supervisors. This role involves performing a variety of administrative and clerical tasks to ensure efficient office operations. The ideal candidate will provide support to managers and employees, assist with daily office needs, and manage various administrative activities.

Key Responsibilities:

  • Proofread and format Word documents.
  • Record and track information in Excel, including creating Pivot Tables.
  • Answer phone calls, respond to email inquiries, provide applicants and the public with appropriate documents, refer callers to the appropriate contacts, and forward email packages.
  • Create documents and memos as needed.
  • Enter data into tracking systems and computer databases.
  • Organize events and coordinate meetings via Microsoft Teams.
  • Copy, scan, file, and manage both physical and digital records.
  • Act as a point of contact for clients.
  • Take meeting minutes.
  • Register applicants for workshop sessions.
  • Issue receipts.
  • Transcribe voicemail messages into tracking systems.
  • Triage phone calls once the new phone system is implemented.

Qualifications and Skills:

  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to communicate effectively, both verbally and in writing.
  • Experience with data entry and records management.
  • Ability to multitask and prioritize workload in a fast-paced environment.
