The Role

The Legal/Administrative Assistant will be an integral part of the Cave Law team, supporting one full-time lawyer and the occasional summer student or part-time employee on an as-needed basis. The Legal/Administrative Assistant will be relied upon to ensure that Cave Law's files, processes and workflows are organized and managed efficiently. The ideal candidate is comfortable working in an entrepreneurial new law firm where growth and process development/optimization are key priorities.

Alberta-based candidates (or candidates familiar with Alberta court/legal processes) are strongly preferred.

Key Responsibilities

The Legal/Administrative Assistant will:

- Oversee file and document management in Clio, Cave Law's cloud-based practice management software

- Open and close files, including assisting with conflict searches and the preparation of retainer letters and file closing letters

- Assist with general document preparation and formatting, including pleadings, affidavits and client correspondence

- Issue monthly invoices to clients and assist with other billing/invoicing functions as needed

- Assist with scheduling meetings, court appearances and general schedule management

- Liaise with Cave Law's bookkeeper to organize invoices/receipts and business expenses on a monthly basis

- Assist with making travel arrangements as needed

- Develop policies, processes and workflows to increase organizational efficiency and ensure compliance with Law Society of Alberta requirements

- Assist with other duties as assigned

Experience and Skills

- Prior work experience in a law firm or providing executive/administrative support in a professional work environment

- Completion of an office administration or legal administration program is preferred

- Experience with legal/court processes, particularly labour and employment law, is an asset

- Experience working with Clio, Quickbooks and Google Suite is an asset

- Comfortable working with Microsoft Office and Adobe Pro to format documents, edit PDFs and obtain e-signatures

- A high level of organizational skills and attention to detail

- A proactive approach to identifying problems and solutions

- Excellent interpersonal and communication skills

- A high degree of professionalism in oral and written communications with clients and tribunals/courts

- Ability to respect and maintain confidentiality

- Ability to work remotely and independently and balance competing priorities

Work Location

The successful candidate will work remotely. Computer and cell phone access will be discussed with the successful candidate.

Compensation

The Legal/Administrative Assistant will be compensated between $30 - $40/hour depending on experience. A professional development budget will also be made available to the successful candidate.

At present, up to 10 hours per week is available for the successful candidate with lots of scheduling flexibility. These needs may increase as the firm grows, and work hours will be negotiated with the successful candidate depending on their availability.
