Rennie Financial is seeking a proactive and detail-oriented individual to join our team as an Administrative Assistant. This position is designed to offer flexibility, with a standard minimum commitment of 20 hours per week. However, there is the potential to increase hours based on workload, especially during high-demand periods such as tax season. In this role, you will provide comprehensive administrative support to the Managing Director as well as operational assistance to the broader team. Your primary responsibilities will include:

 

·        Greeting clients

·        Answering phones

·        Overseeing daily office procedures

·        Document filing

·        Managing couriers

·        Composing letters and other correspondence

·        Managing client billings

 

You will serve as the first point of contact with clients and utilize your superior people skills while upholding the firm’s high standards of professionalism. Your collaborative approach and ability to take initiative will enable you to support team members with various administrative tasks. Your ability to adjust your approach based on the context will ensure that you can maintain productivity and support your team effectively.

 

Your strong problem-solving and active listening abilities, combined with an open and respectful communication style, will help foster positive relationships and effective teamwork. Thinking “outside of the box” is essential for tackling challenges creatively, and your adaptability ensures you can pivot as needed. Moreover, your meticulous organizational skills help you manage your time efficiently and handle multiple tasks without losing sight of priorities. You possess strong technical abilities and a proven capacity to learn and adapt to new systems, including various billing systems.

 

Other Qualifications:

  • Minimum of two years of experience as an Administrative Assistant, preferably in an accounting setting.
  • Post-secondary education.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills, with exceptional attention to detail.
  • Proficient in document management, record-keeping, and client billing.
  • Proficient in managing and paying vendor accounts.
  • Ability to pick up new technology quickly and easily.
  • Ability to work both independently and collaboratively in a team environment.
  • Ability to manage sensitive and confidential information with discretion
  • Strong interpersonal skills with a professional demeanor in client interactions.
  • Proficient in office productivity software and relevant tools.
  • Experience in a private sector environment is an asset.
