The Opportunity - Supervisor, Athletics Operations - full-time, temporary
The Supervisor - Athletics Operations is responsible for overseeing the daily operations of Olds College's athletic facilities and activities. Acting as the Athletics Director (Conference Title), this position manages all facets of athletic facility use, coordinates athletic events, supports student-athlete development, and provides leadership to coaching staff. The role includes managing budgets, coordinating schedules for Alberta Colleges Athletic Conference (ACAC) and Canadian College Rodeo Association (CCRA) events, and collaborating with the Supervisor - Events and Engagement for technical support in programs such as Olds College Broncos Camps and Jr Club Sports.
Key Job Functions:
1. Leadership and Operations Management:
Serve as the Athletics Director (Conference Title), providing strategic leadership and operational direction for all athletic programs and services.
Supervise the day-to-day operations of athletic facilities, ensuring high standards of service, safety, and quality for all users, including students, staff, and community members.
Lead and mentor a team of coaches across all Olds College sports, facilitating performance management, professional development, and fostering a culture of teamwork and excellence in coordination with the Senior Manager, Athletics and Wellness.
Develop, implement, and evaluate athletic policies and procedures to ensure compliance with internal and external regulations.
Act as the primary point of contact for all athletic programs, maintaining clear communication with staff, students, and stakeholders.
Establish goals and metrics to measure program success, track athlete development, and assess facility usage, reporting regularly to the Senior Manager, Athletics and Wellness.
2. Athletic Program Coordination:
Oversee and coordinate the planning, organization, and execution of athletic programs, including technical and logistical support for both practice sessions and competition events in conjunction with Olds College coaches.
Provide leadership in the administration of athletic events, including ACAC and CCRA Rodeo competitions, ensuring schedules, rosters, and logistics are accurately managed and communicated.
Collaborate with athletic trainers, medical staff, and student services to ensure that student-athletes receive appropriate health and wellness support.
Facilitate communication between coaching staff, student-athletes, and academic departments to ensure student-athletes are supported in balancing their academic and athletic responsibilities.
Promote the integration of life skills and leadership development into athletic programs, contributing to the holistic development of student-athletes.
Coordinate travel arrangements, accommodations, and meals for teams attending off-campus competitions and events.
3. Facility Management:
Oversee and coordinate facility management, including scheduling, maintenance, and upkeep of athletic facilities, ensuring they are clean, safe, and properly equipped for daily use and special events with our Campus partners.
Collaborate with the Facilities Management team to ensure that all equipment and infrastructure meet health and safety standards, and address any issues that arise in a timely manner.
Implement risk management strategies to ensure the safe operation of athletic facilities and compliance with safety regulations.
Conduct regular assessments of facility use to ensure that spaces are optimized for both College and community programming.
Collaborate with Olds College Farm Operations for Rodeo and facility usage.
4. Financial Management and Budget Oversight:
Develop, monitor, and manage the operating budgets for athletics, ensuring financial resources are allocated effectively and spent in alignment with institutional priorities for each individual sport in coordination with Senior Manager, Athletics and Wellness and Supervisor - Events and Engagement.
Work closely with the Senior Manager, Athletics and Wellness to forecast budgetary needs and manage long-term financial planning for athletic programs and facility enhancements.
Track expenses, revenues, and other financial metrics, preparing reports and analyses to inform decision-making and identify cost-saving opportunities.
Oversee procurement processes for equipment, uniforms, and supplies, ensuring timely delivery and quality standards.
Identify and pursue funding opportunities, including sponsorships, partnerships, and grants, to support athletic programming and facility improvements in coordination with Olds College Development.
5. Coach Leadership and Development:
Lead the recruitment, hiring, training, and development of coaches across all Olds College sports, fostering a positive team culture that prioritizes student success.
Provide guidance and mentorship to coaches, helping them implement effective training strategies, game preparation, and overall athlete development.
Conduct performance evaluations for coaches, providing constructive feedback and facilitating professional development opportunities.
Develop training programs and workshops for coaches to enhance their knowledge and skill sets in areas such as athlete performance, mental health awareness, and leadership.
Ensure that coaches are compliant with governing body requirements, including certifications, and that they adhere to institutional policies and procedures.
6. Collaboration and Event Support:
Partner with the Supervisor - Events and Engagement to provide seamless coordination and technical support for events such as Olds College Broncos Camps, Jr Club Sports, and other large-scale athletic activities.
Assist in the planning, promotion, and execution of community engagement events, open houses, and athletic showcases, enhancing visibility and participation in Olds College athletics.
Facilitate collaboration with internal departments such as Marketing and Communications, Campus Health and Wellness Services, and Student Services to promote athletic events and ensure alignment with college-wide initiatives.
Serve as a liaison between athletics and external partners, sponsors, and alumni to foster relationships that support the growth and sustainability of Olds College athletics.
Support student recruitment initiatives through athletic programming, working with the Admissions and Recruitment teams to highlight athletics as a key aspect of the Olds College experience.
Education/Experience/Skills/Knowledge Required
Bachelor’s degree in Sports Management, Physical Education, or related field; or an equivalent combination of education and experience.
3-5 years of experience in athletics management, with a proven track record in facility operations, budget management, and staff supervision.
Strong leadership and interpersonal skills, with the ability to inspire and motivate both staff and student-athletes.
Experience coordinating ACAC and CCRA Rodeo events or similar athletic competitions.
Demonstrated expertise in budgeting, financial oversight, and resource management.
Excellent organizational, time management, and problem-solving abilities.
Proficiency in facility management software and athletic scheduling tools.
Knowledge of best practices in health, wellness, and safety standards for athletic facilities.
Excellent interpersonal and relationship-building skills.
Ability to adapt quickly in a fast-paced environment with changing priorities.
Demonstrated ability to create a positive experience for employees, athletes, coaches, and patrons during athletic events.
Strategic thinking and the ability to develop long-term plans and initiatives.
Strong verbal and written communication skills, with the ability to engage effectively with diverse stakeholders.

Conditions of Employment:
Work outside of regular College operating hours will be required.
