Position Overview:
As the Operations Coordinator, you will be the essential link between our Calgary Sancon Management, field leadership teams and the logistical and administrative support they need. Your role involves managing the mobilizations and demobilizations including equipment, logistics, flights, work visas, materials, and lodging. Your role will also include support of ongoing operation on the above items as well as supporting timesheet and field ticket (Labour Equipment and Materials (LEM)) submittals, gathering and reporting of field key performance indicators (KPI) on Safety and Quality metrics. You will prioritize tasks, solve problems, and drive activities through to completion. Your ability to work with people, manage resources, and oversee and multitask on multiple projects and locations at the same time is crucial for this role.

Key Responsibilities:

Reporting Structure:
The Operations Coordinator will report directly to the Chief Operations Officer (COO). First Point of Contact:
Act as the main contact for Sancon field personnel concerning equipment, logistics, flights, materials, and lodging. Escalate any significant issues or concerns to the COO as needed. Scheduling:
Manage scheduling and mobilization of resources across multiple projects and locations. Timesheet and Expense Management:
Assist with field timesheet collection and expense management, including approvals. Client Coordination:
Submit field labor, equipment, and materials (LEM) tickets to clients promptly and accurately. Asset and Equipment Management:
Work with the equipment logistics coordinator, oversee the management of assets, equipment, materials, PPE (Personal Protective Equipment), and vehicle maintenance. Material Ordering:
Handle all field material ordering with the purchaser. Flight Coordination:
Coordinate flight requests and input flight information into the database. Shipping Coordination:
Working with the equipment logistics coordinator, manage shipping logistics through carriers like Purolator and UPS. Field Software Management:
Oversee field software licenses; handle field laptop software onboarding and logins. Personnel Placement:
Assist in personnel placement and mobilization for projects, including obtaining client pre-approval. Vendor Coordination:
Manage relationships with Sancon’s various vendors, including rental equipment, rental vehicles, safety equipment, and materials.

Requirements:

Education:
Bachelor’s degree in Business Administration, Commerce, Management, or Finance, or a diploma in a related technical field (Instrumentation Engineering Technology, Electrical Engineering Technology). Experience:
Preferred minimum of 2 years of experience in an operational or logistical support position, ideally within field services or the construction industry. Skills: Strong organizational skills with the ability to prioritize tasks effectively. Excellent problem-solving skills and the ability to provide solutions in a dynamic environment. Absolute proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn other software. Strong communication skills, both written and verbal, with the ability to interact effectively with field personnel, clients, and vendors. Ability to manage multiple tasks and projects simultaneously, maintaining attention to detail while ensuring deadlines and objectives are met. Experience in scheduling and managing logistics for a large team across multiple locations. Certifications:
Relevant certifications in logistics, operations management, or project management are beneficial.

Work Conditions:

Office environment with occasional travel to field locations as needed. 40-hour work week, Monday - Friday. Occasional overtime may be required. Ability to work under pressure and manage tight deadlines.
