We are seeking a Sr. Administrative Assistant to join our team. In this role, you will provide comprehensive administrative support to various business sectors. Your duties will include calendar management, overseeing the purchase-to-pay process, supporting budgeting, coordinating team events/meetings, and more. As a Sr. Administrative Assistant, you will also be expected to handle confidential information with the utmost professionalism and discretion.

Responsibilities:
• Manages calendars for assigned members and departments, coordinating meetings, facilities, and providing relevant materials to team members
• Handles general paperwork tasks such as photocopying, scanning, and binding
• Oversees the purchase-to-pay process, including RFPs, commitment requests, vendor setup, and invoice coding
• Acts as a Super User for K2 and Ariba, providing support to teams as necessary
• Serves as a Super User for meeting Room AV/IT, assisting teams accordingly
• Coordinates onboarding activities for new hires within assigned teams, working closely with HR
• Arranges travel logistics for assigned members, ensuring compliance with company travel and expense policies
• Prepares, submits, and tracks expense reports for assigned members in line with company policy
• Discreetly handles, coordinates, and communicates highly confidential and sensitive information
• Collaborates with administrative and operations support colleagues to resolve day-to-day work issues, implement improvements, and manage back-up coverage
• Reports potential adverse events/safety information or product complaints to the appropriate department
• Performs other assigned duties as necessary.
• Minimum of 1 year experience in an administrative role
• Proficiency in ADP - Financial Services software
• Experience in creating and managing Banner Ads
• Proficiency in using Cisco Webex Meetings for scheduling and conducting virtual meetings
• Experience with Concur expense management software
• Familiarity with CRM (Customer Relationship Management) systems
• Knowledge of the About Time project management system
• Experience in managing Budget Processes
• Strong Calendar Management skills
• Excellent Communication abilities, both written and verbal
• Experience in organizing and managing Conference Calls
• Proficiency in SAP Business Software
• Experience in employee Onboarding processes
• Ability to Book Travel Arrangements efficiently
• Experience in handling Confidential Documents with discretion
