The Direct Billing Associate is responsible for the receiving and billing of Direct and Project orders, dealing with outstanding issues and analyzing and reconciling order variances.

Responsibilities:

  • Process and maintain Purchase Orders.
  • Retrieve direct invoices from the AS400 system, match and maintain PO's daily.
  • Assist A/P regarding vendor invoices.
  • Distribute invoices amongst Project Coordinators & Inside Sales for review.
  • Process customer credits, vendor debits & returns.
  • Analyze and reconcile order variances.
  • Maintain & update manual and computer-based reports.
  • Coordinate with the branches for PPVs, cost imbalances and vendor chargebacks.
  • Create VDMs to debit Vendors for incorrect freight, price or quantity issues on the invoices.
  • Review open PO invoice Excel report to meet the unfilled at Month End through Billing.
  • Backup for the order desk receptionist.
  • Data Entry on Physical Inventory.
  • Various other duties as assigned.

Qualifications:

  • Intermediate level Accounting with project billing experience preferred.
  • Accuracy and attention to detail are a must.
  • Must be able to handle a high volume, meet deadlines and multitask.
  • Excellent communication & organization skills are a must.
  • Excellent oral and written English required.
  • MS Outlook and Excel proficiency required.
  • Experience with AS400 computer system an asset but must have demonstrated proficiency with various computer systems.
