Job Description

The position operates in the area of procurement and supply chain e.g., bid analysis, selection of suppliers, subcontracts, professional services, contract administration, site mobilization and demobilization, and supplier quality surveillance and compliance.

The Subcontracts Administrator Co-op reports to the Subcontract Manager and will partner with the Procurement Team.

  • Oversight of the subcontract documents workflow and maintenance of the filing system (Comparative Charts, Agreements, Change Orders, Task Orders, etc..).
  • Work closely with Subcontract Coordinators to Initiate, track the approvals, and archive in the Construction Management Software (CC, AG, TO, CO, etc...).
  • Assist in maintaining the General Bidder List up to date.
  • Assist in preparing bidder lists per work package, in conjunction with Technical Lead and Procurement Department.
  • Receives the Subcontract Coordinators request for due diligence and coordinates as required.
  • Coordinate with Doc Control for the dispatch of / receipt of correspondence and procurement documents to Subcontractors.
  • Assist in the Initiate Vendor creation for awarded subcontractors and coordinate with the Finance dept.
  • Help verify that Initial Submittals required from the Vendor are provided, received, and dispatched as required, track related queries to Subs, escalate issues to SubMA, and file the said Initial submittals.
  • Assist with the evaluation and monitoring of contract performance to ensure compliance with contractual obligations and determine the need for changes.
  • Learn processes and support the Subcontract Coordinator around the research and evaluation of suppliers based on price, quality, selection, service, support, availability, reliability, production and distribution capabilities, and the supplier’s reputation and history.

Qualifications

  • Currently enrolled in relevant program, such as Civil Engineering/ Technologist / Construction Management.
  • Capable of reading and understanding construction drawings and documents.
  • Sound computer skills – office 365.
  • Ability to use BuildingConnected is an asset.
  • Ability to use ASite is an asset.
  • Strong communication skills – oral and written.
  • Self-motivated with good organizational skills.
  • Ability to work with others as a team.
