Description

As an Administrative Assistant, you will be responsible formaintaining, organizing, and safeguarding our records. You will use your customer service and administrative skills as youtake on the responsibility for facilitating various administrative tasks to ensure efficient office operations

What you’ll do:

Facilitate and receive courier services, including the preparation of outgoing mail.

Perform faxing, filing, and photocopying to collate manuals and documents as required.

Order and maintain office supplies to ensure availability for daily operations.

Respond professionally and courteously to calls and electronic communications from funders, staff, clients, and families.

Coordinate efforts between Medical Records and staff to ensure seamless information flow.

Manage and maintain client files, ensuring accuracy and confidentiality.

Prepare, collect, and audit charts from community staff to maintain organizational standards.

Organize client files for offsite storage according to retention policies.

Enter and update employee and client data in computerized systems and databases.

Maintain office and PPE inventory, organizing supply rooms for accessibility.

Organize and schedule meetings for Upper Management, ensuring efficient use of time.

Manage multiple tasks in a fast-paced environment while maintaining accuracy and meeting deadlines.

Booking and scheduling meeting rooms to accommodate various departmental needs.

Perform general office duties as required to support daily operations.

Undertake additional responsibilities as required including special projects

What you bring:

Two years of administrative or office experience

Intermediate typing and software skills in Microsoft Office

Superior Customer service skills

Ability to effectively communicate both through oral and written mediums in English- other languages may be an asset

Ability to demonstrate compassion, tact and diplomacy when interacting with clients and their families

Time Type: Full time
