Admin Lead

**Role Description**

Are you a skilled dental professional with a passion for leadership? We are seeking a dedicated Admin Lead for a dental clinic. In this role, you'll be at the heart of our practice's operations, fostering an environment where both patients and staff thrive.

**Key Responsibilities**
- Schedules and confirms patients’ dental consultations, examinations, and appointments
- Greets visitors and directs them to appropriate staff
- Explains technical and medical information to patients and provides pre/post op instructions prescribed by the dentist
- Collaborates with dentist to develop treatment plans. Records treatment plan and coordinates with dental assistants to ensure lab parts and materials are present for scheduled appointment
- Receive and inputs patient information into software
- Performs various clerical or administrative functions such as ordering and monitoring dental supplies and equipment inventory
- Processes dental billing information, receives payment, manages AR, prepares and sends financial information, keeps financial records and completes insurance forms
- Assists with client AR and month-end processes
- Coordinates social events to foster good team morale
- Assists with marketing strategy implementation for the clinic such as social media presence and marketing of new locations and services. When requested, communicates with external marketing suppliers and orders marketing materials.
- Ensures the client-practices are providing top level patient care.
- Responsible for the smooth running of daily huddles to ensure all staff members are well informed and prepared for their tasks, as well as motivated and engaged as they tackle their responsibilities.
- Responsible for updating client-practice KPIs consistently and accurately to ensure Corporate is able to effectively report on clinic results.
- Assists in ensuring client-practice premises are clean, organized and in compliance with regulatory health and safety requirements at all times and that signage at the premises are accurate and complete.
- Provides feedback to MAP Corporate on new and current processes, trackers, etc. in order to continuously make systems effective and relevant to the needs of the team and the business.
- Ensures accuracy of billings. Corrects any billing discrepancies to ensure mínimal to no rejection notices from insurance companies.
- Meets with direct manager weekly to discuss operations and communicates effectively with direct manager.
- Assists with developing patient forms, consents, and all other documentations for the clinic. Ensures they are consistently implemented and provides support to other clinic staff members.

**Knowledge, Skills and Abilities**
- Outstanding interpersonal skills
- Outstanding written and verbal communication skills
- Outstanding organizational skills and attention to detail is a must
- Self-starter with excellent problem solving and critical thinking skills
- Ability to work with computers and to learn how to use new software
- Ability to work within a multi-disciplinary team
- Proficiency in Microsoft Office Suite of Products
- Knowledge of the ClearDent software is considered an asset
- Dental knowledge and terminology

**Qualifications and Experience**
- 3-5 years of dental administrative experience required
- Experience working at general dental practice is considered an asset
- Dental hygienist or Dental Assistant licensure is considered an asset
- Certification of dental administration or Treatment Coordinating is considered an asset

**Work Environment**
- This is a full-time position.
- Your primary workplace will be at the main dental practice location, with weekly administrative time at our Corporate office for meetings and training.
