We are looking for an Accounting/Office Administrator to join our team. This position will be responsible for various administrative aspects of the business to ensure that both operations and accounting aspects of the business run efficiently. This includes a variety of responsibilities including dealing with vendors, customers, as well as internal staff members on a regular basis to ensure that the business needs are being met.

This position also involves assisting the Controller with updating/developing various SOP’s, implementing new databases, and assisting in various other projects that are being implemented on an as needed basis.

Responsibilities

Processing of Vendor Accounts Payable Invoices, as well as employee expenses, in the company ERP system Performing Month-End General Ledger Reconciliations, including Accounts Receivable, Accounts Payable, Prepaid Expenses, Intangibles, and other GL accounts as assigned Reconcile Intercompany Accounts Receivable and Accounts Payable accounts to ensure month-end balances reconcile to our international branches Enter purchase requests (PR) into the company PR system, and once approved by management, provide approved purchase orders to vendors in a timely manner Provide monthly royalty calculations to the Controller and IPG Head Office Answering main phone line calls and directing calls to the appropriate company personnel Checking and filling expense reports Coordinating with vendors for various company needs, such as scheduling cleaners, scheduling appointments and maintaining the company vehicle, ensuring company sites are stocked with supplies, and other similar business needs as required Assist in developing and/or updating company SOP documentation to ensure that appropriate controls are in place to safeguard company assets Other duties as assigned

Requirements

Minimum 3+ years’ experience in an office environment in an office administrative accounting role College Diploma, or other similar level of education, in Business Administration- Accounting Excellent organizational skills, and the ability to work effectively under pressure to meet deadlines Ability to calmly and effectively handle multiple and changing priorities in a dynamic work environment Excellent interpersonal and communication skills Exceptional time management skills Demonstrated attention to detail Outstanding analytical, problem solving skills Able to maintain a high-level of confidentiality Experience with an enterprise ERP system such as Dynamics NAV is considered an asset Intermediate level of Microsoft Word, Microsoft Excel, Microsoft Outlook, and other electronic office tools Ability to lift 20 kg / 45 lb packages
