The Vertex Company est à la recherche d’un coordonnateur à la formation pour soutenir les programmes et les activités de formation. La personne qui occupera ce poste sera responsable de la planification, de la coordination et de l’exécution des opérations de logistique pour les activités de formation prises en charge par RPS. Le candidat idéal saura rapidement et aisément établir des relations avec les membres de l’équipe et les clients, fera preuve de flexibilité afin de s’adapter aux besoins évolutifs de l’entreprise et possédera d’excellentes compétences en matière de communication professionnelle. De plus, le candidat retenu saura porter une attention particulière aux détails et possédera le sens de l’organisation et de la gestion du temps. Il pourrait également avoir à faire preuve d’une certaine flexibilité pour assister les clients dont les quarts de travail ou les fuseaux horaires sont différents.

Liste des tâches requises (non exhaustive) :

Discuter des critères des activités et les obtenir auprès des clients internes et externes et soumettre des idées et des suggestions sur les meilleures pratiques Fournir un soutien logistique complet pour les activités de formation Organiser les salles de formation et planifier un échéancier pour les instructeurs, les services de traiteurs, la reproduction d’impression, la préparation et/ou les commandes d’autres matériaux et équipements requis Effectuer la prise en charge des cours dispensés virtuellement Communiquer par courriel, par téléphone, lors de réunions virtuelles et réunions en personne, avec les participants, les instructeurs, les fournisseurs et les commanditaires des activités Utilisation intensive du système de gestion de l’apprentissage pour planifier les cours, gérer et mettre à jour divers types de processus d’inscription et d’exécution, et générer des rapports Gérer et faire le suivi des informations liées aux cours/programmes, des exigences et de l’exécution des tâches associées aux activités Coordonner, mettre à jour et récupérer le contenu des sites SharePoint et d’autres ressources en ligne Pallier rapidement les problèmes connus et inattendus qui pourraient avoir une incidence sur la bonne exécution d’une activité ou d’un programme de formation Faciliter l’encadrement lors des cours en direct et à distance (c.-à-d. aider lors des exercices/interactions en classe, organiser des réunions virtuelles pour les participants à distance) Donner une formation individuelle ou en petit groupe et du dépannage informatique, selon les besoins, pour des programmes plus complexes nécessitant une approche préparatoire ou une configuration d’équipement précise Effectuer la mise à jour des documents de formation (c.-à-d. insérer des questions dans des diapositives PowerPoint de formation, créer des instructions détaillées pour les participants d’une classe virtuelle) Recueillir toutes les données de facturation pour les cours et les programmes en s’assurant qu’elles sont exactes et recueillies à temps  Fournir du soutien aux infrastructures quotidiennes et aux besoins opérationnels du centre de formation selon les besoins et si le temps le permet. Des heures supplémentaires et du travail les soirs et fin de semaines peuvent être nécessaire pour l’installation/le démontage des salles de classes ou pour du support lors d’événements spéciaux D’autres tâches peuvent être assignées

Compétences requises :

Capable de suivre des processus rationnels, de travailler de manière indépendante ou en équipe avec un minimum de supervision Expérience de travail dans un contexte d’amélioration continue - capacité à identifier les problèmes potentiels, à les présenter à la direction en proposant des solutions potentielles pour aider à limiter les risques et à améliorer la prestation de services Maîtrise de la suite MS Office et d'autres applications de bureautique courantes (au minimum, maîtrise intermédiaire des logiciels Excel, Outlook, Word et PowerPoint et Adobe Pro) Doit posséder d’excellentes compétences relationnelles et un grand souci du service à la clientèle Doit posséder d’excellentes compétences en communication professionnelles à l’oral et à l’écrit, en français et en anglais Capacité de créer des rapports pour présenter différentes situation aux clients (définition des paramètres appropriés, analyse des données pour confirmation d’exactitude/cerner les problèmes, résumé des données et formatage de sortie des rapports pour faciliter la révision) Capacité à hiérarchiser et à gérer les affectations de travail afin de respecter les échéances du projet et les prévisions budgétaires La capacité de soulever des poids pouvant aller jusqu’à 25 livres est essentielle pour ce travail

Compétences souhaitées :

Expérience antérieure en planification d’événements (idéalement des événements de formation) pour des clients internes et/ou externes Expérience avec les systèmes de gestion de la formation en entreprise Capacité à identifier les secteurs nécessitant une amélioration constante, autant dans le milieu de travail que dans les processus Expérience en formation de clients dans le cadre de leur utilisation d’applications ou d’outils, et/ou autre expérience de mentorat

Études :

Baccalauréat en administration des affaires ou équivalent.

The Vertex Company is looking for a  Training Coordinator to support learning programs and events. The person who fills this position is responsible for the planning, coordination, and execution of all logistics support for learning events supported by RPS. The ideal candidate for this position will build rapport with team members and customers quickly and easily, be flexible/adapt to changing business needs, and possess excellent business communication skills. Additionally, a successful candidate will possess exemplary attention to detail, organizational and time management skills. This position may include some after-hours/weekend schedules.

Job duties include, but are not limited to:

Discuss and obtain event requirements with internal and external customers and provide feedback and suggestions related to best practices Provide end-to-end logistical support for training events for local and remote locations Arrange and schedule training rooms, instructors, catering, print reproduction, preparation and/or ordering of other materials, and required equipment Support and moderation of classes delivered virtually Communicate with students, instructors, suppliers, and event sponsors via email, phone, virtual meetings, and face-to-face meetings Extensive use of Learning Management System (LMS) to schedule courses/classes, manage and update various types of enrollment processes and completions, and generate reports Track and manage class/program information, requirements, and completion of tasks associated with event support Coordinate, update, and retrieve content from SharePoint sites and other online repositories Promptly mitigate known and unexpected issues that could impact a timely and successful execution of a training event/program Provide facilitation support during live and remotely delivered classes ( assist with class exercises/interactions, run virtual meetings for remote attendees. Provide one-on-one or small group training and systems troubleshooting as required for more complex programs involving extensive pre-work or equipment setup Create training documentation updates ( embedding survey questions into Training PowerPoint slides, creating step by step instructions for virtual class participants) Timely and accurate collection and completion of all billing information for classes and programs Provide support for the daily facilities and operations needs of the Learning Center as needed and time allows. Overtime and work on weekends/evenings may be required for a class set up/tear down and other event support Other Job duties may be assigned

Required Skills:

Able to follow defined processes, work independently or as a team with minimal oversight Experience working in a continuous improvement environment - ability to identify potential issues, present them to management offering potential solutions to assist in mitigating risks and improving service delivery Must be proficient with all MS Office Suite applications and other standard office applications (minimally, intermediate using Excel, Outlook, Word, and PowerPoint) Must possess excellent customer service and interpersonal skills Must possess excellent written and verbal business communication skills in French and English Experience running reports to provide status updates to customers (set correct parameters, analyze the data for accuracy/issues, summarize data, and format the report output for easy review) Ability to prioritize and self-manage work assignments in order to meet project deadlines, and cost expectations The ability to lift up to 25 pounds is an essential function of this job

Desired Skills:

Previous experience planning events (ideally training events) for internal and/or external customers Experience with business Learning Management Systems Ability to identify areas for continuous improvement in the work environment and processes Experience training customers to use applications or tools, and/or other facilitation experience

Required Education:

Bachelor’s degree in Business Administration or equivalent.
