Administrative & Front Desk Duties
- Greet patients in a friendly and professional manner upon arrival
- Manage appointment scheduling, cancellations, and reminders
- Answer phones and respond to emails with timely, clear communication
- Maintain up-to-date patient records, charts, and intake forms in the EMR system
- Verify and update patient demographics, insurance, and referral details
Hearing Clinic-Specific Support
- Prepare hearing test rooms and assist with equipment setup
- Track and manage hearing aid inventory, orders, repairs, and loaner devices
- Coordinate hearing aid pickups and follow-ups
- Liaise with audiologists to ensure smooth patient flow and accurate file documentation
Clinical & Provider Support
- Prepare exam rooms and ensure cleanliness between patients
- Support audiologists or nurse practitioners by organizing charts, documenting visit notes (as applicable), and setting up necessary tools
- Transcribe or input provider notes into the EMR
- Print, fax, or forward referrals, requisitions, or medical forms as requested
- Monitor fax/email inboxes and route communications appropriately
Operations & Clinic Maintenance
- Maintain organized front desk and patient areas
- Manage incoming and outgoing mail, packages, and lab shipments (including hearing aids)
- Report any facility or equipment issues to management
Patient Support & Communication
- Help patients navigate care pathways, including referrals and specialist appointments
- Provide compassionate, clear guidance to seniors or patients with hearing loss
- Assist with consent forms, third-party forms, and general documentation
- Handle patient feedback or concerns professionally and escalate as needed
Key Skills & Attributes
- Strong communication and interpersonal skills
- Ability to multitask in a fast-paced environment
- Comfortable with EMR systems and office technology
- Knowledge of hearing aids and basic audiology support is an asset
- Empathetic, organized, and reliable with a high attention to detail
- Manage appointment scheduling, cancellations, and reminders
- Answer phones and respond to emails with timely, clear communication
- Maintain up-to-date patient records, charts, and intake forms in the EMR system
- Verify and update patient demographics, insurance, and referral details
- Process payments, issue receipts, and complete daily cash reconciliation
Job Type: Full-time
Pay: From $27.50 per hour
