The Administrative Coordinator provides timely and confidential administrative support, meeting and event coordination to the Senior Leadership (80%) and People & Culture (20%) teams.
Key responsibilities of the role include:
1. Administration Support
- Prepares and distributes Senior Leadership Team (SLT) meeting materials; record and post meeting minutes.
- Processes VP expense approvals and support SLT with research, reporting, and communications.
- Coordinates weekly People & Culture announcements.
- Post job ads, manage reference checks, and supports onboarding and mandatory training.
- Maintains employee and Board training records; prepares quarterly reports.
- Manages virtual meeting/webinar setup, HR surveys, and parking administration.
- Tracks retirements for CEO acknowledgment.
- Manages lending limit requests, signing officer changes, and contract/lease filing systems.
- Maintains insurance and fleet administration records.
- Coordinates ordering and delivery of office supplies, equipment, and Board/SLT materials.
2. Event Coordination
- Coordinates registrations and participation for business conferences, events, and meetings.
- Plans and manages logistics for SLT and organizational events (e.g., Employee Appreciation Day, AGM, Strategic Planning), and in-person Board meetings and training.
- Liaises with external presenters; manages scheduling, travel, accommodation, and IT needs; collects bios and ensures presentation materials are prepared.
Provides administrative support for large organizational projects, including mergers.
Digital Asset Maintenance & Accessibility
Maintains and updates SLT SharePoint content; manage user access, monitor engagement, resolve issues, and communicate updates.
- Maintains and updates People & Culture Inner Circle content (org charts, policies, job profiles, etc.); manage access, resolve user issues, and communicate updates in collaboration with IT.
The ideal candidate will have successfully completed a high school diploma and have 1-3 years related experience
including:
- Advanced oral and written communication skills
- Advanced time management, attention to detail and organizational skills and ability to handle multiple priorities concurrently
- Advanced use of Microsoft Office 365 Applications
- Proficient interpersonal skills
- Proficient ability to record and transcribe minutes
- Proficient ability to create, compose and edit written materials
- Proficient ability to maintain a high level of discretion and confidentiality in handling confidential information, situations and discussions
- Proficient analytical and problem-solving skills
