About Us:

Ocean Quest Adventures has evolved from a local marine tourism operator to include a licensed event and experience center overlooking beautiful Petty Harbour. Our venue now hosts a variety of private celebrations, corporate functions, and community events. We're looking for a skilled and enthusiastic Event & Client Experience Coordinator to help manage every stage of the event experience — from the first inquiry to the final follow-up.

Position Overview:

The position will be responsible for overseeing the full event process, ensuring a seamless and professional experience for every client. This role can be structured as a part-time position or contract opportunity for an individual or company. This will be a six (6) month contract with three (3) months probationary period with potential for extension into a full time position within the organization.

Responsibilities:

  • Serve as the primary point of contact for event inquiries, providing prompt, professional communication and exceptional client service.
  • Gather client details and event requirements to prepare tailored information packages, FAQs, and quotes.
  • Manage the booking process — confirming dates, securing deposits, and maintaining accurate records within the company's event management platform.
  • Coordinate with vendors, service providers, and catering teams to confirm event logistics, timelines, and service needs.
  • Oversee event preparations, including venue readiness, cleanliness, supply pickup, and setup.
  • Ensure all administrative elements are completed prior to each event, including final payment collection and confirmation of event details.
  • Greet clients upon arrival, provide venue orientation, and remain as contact throughout the event for support or troubleshooting.
  • Conduct post-event follow-up, including cleanup coordination, invoicing for additional fees if applicable, and client feedback collection.
  • Maintain strong working relationships with clients, suppliers, and internal staff to ensure smooth operations and continued business growth.

Qualifications:

  • Excellent organizational and communication skills with strong attention to detail.
  • Experience in event coordination, project management, or hospitality.
  • Positive, professional demeanour and ability to manage multiple priorities.
  • Food service or catering experience preferred.
  • Food Handler Certificate (or willingness to obtain).
  • Reliable transportation required.

Job Type: Part-time

Pay: $18.00-$21.00 per hour

Expected hours: 10 – 20 per week
