  • Determine & establish important role in the administration of the company, ensuring the procedures & routines are followed.
  • Provide various administrative & clerical support including mailing, scanning, faxing, copying, record keeping, billing, invoices and maintaining hardcopy & electronic filing system.
  • Responsible for processing routine payments to employees, drivers and subcontractors. Ensure payroll deadlines are met and procedures are followed.
  • Ensure all vendors invoices are received and entered in time so payments can be processed efficiently on timely manner.
  • Knowledge of transportation safety rules and regulations, HOS, Maintenance, Drivers hiring, DQ files, Truck and trailers regulations.
  • Prepare & compile reports and records including correspondence, drafts, memos, and emails.
  • Open, sort and distribute incoming regular and electronic correspondence and other material.
  • Coordinate the flow of information internally and with other departments of the company.
  • Maintain calendar, schedule and coordinate meetings, appointments.
  • Schedules and confirms courier pick ups and deliveries.
  • Orders office supplies and maintains inventory electronically and manually.
  • Set up and maintain manual and computerized information filing systems for record keeping.
  • To establish work priorities to support office staff and to ensure deadlines are met and procedures are followed by the office staff members.
  • Well trained in the software's (Fleet manager, PC Miler, Web portals, Web meetings, EDI portals, Outlook and QBO) being used by the company for dispatching, billing process & vendor invoicing, accounts receivable also be using this software to prepare invoices
  • Drafts minutes of the meetings, seminars and conferences for managerial review.
  • Answers general phone and email inquiries in a professional and courteous manner and direct inquiries to the appropriate managerial member.
