Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency in various office software. This role is vital in ensuring smooth daily functions, managing correspondence, and providing exceptional customer service. Experience with medical or dental offices is a plus, along with familiarity in bookkeeping and data entry. The position offers an opportunity to work in a professional environment where organizational skills and attention to detail are highly valued.

Duties

  • Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
  • Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
  • Maintain organized filing systems both electronically and physically
  • Schedule appointments, coordinate meetings, and manage calendars efficiently
  • Provide customer support by addressing inquiries via phone or email, ensuring excellent phone etiquette and customer service standards
  • Assist with bookkeeping tasks such as invoicing, billing, and basic financial record keeping
  • Proofread documents for accuracy and clarity before distribution
  • Support office staff with administrative tasks including copying, scanning, and document preparation
  • Handle incoming correspondence and ensure timely follow-up on pending items

Experience

  • Prior clerical or administrative experience preferred, especially within medical or dental offices
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or similar bookkeeping software is advantageous
  • Strong computer skills including data entry, filing, and managing multi-line phone systems
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Demonstrated customer service skills with professional phone etiquette
  • Typing speed of at least 60 words per minute with proofreading capabilities
  • Previous experience in a front desk or receptionist role is desirable but not mandatory; training will be provided for specific software or procedures

Job Type: Full-time

Pay: $16.03-$27.29 per hour

Expected hours: 40 per week
