Human Resources Coordinator (Contract)

Richmond Hill, Ontario

This is a temporary three-month contract position with the possibility of extension. The role is full-time, Monday to Friday, 40 hours per week, and requires working on-site at our office located at 25 Sims Crescent, Richmond Hill, Ontario, L4B 1C9.

We are seeking a detail-oriented and proactive Human Resources Coordinator to join our HR team. This role will report directly to the Global HR Manager and will be primarily responsible for coordinating and supporting HR activities for Canada-based employees, while also providing operational support to global HR initiatives. This is an excellent opportunity for an HR professional with a strong understanding of Canadian employment practices and a desire to work in a dynamic, global environment.

Key Responsibilities:

HR Coordination:

  • Act as the first point of contact for HR-related inquiries, providing guidance on policies, procedures, and general HR matters.
  • Coordinate all aspects of employee lifecycle processes for Canada-based staff, including recruitment support, onboarding, changes in employment status, promotions, and terminations.
  • Assisting in reviewing new hire information and preparing any applicable items required.
  • Maintain and audit employee files and ensure accuracy in HRIS and other systems; ensure compliance with data privacy regulations..
  • Track and manage employee leaves of absence.
  • Implement learning & development programs, including scheduling, communications, and tracking participation.
  • Help implement and monitor employee engagement activities and recognition programs for the Canada team
  • Provide administrative support in managing disciplinary processes, investigations, and performance improvement plans under the guidance of the Global HR Manager.

Global HR Support:

  • Assist with the harmonization and maintenance of global HR policies and practices across multiple geographies.
  • Coordinate cross-border onboarding activities and documentation in partnership with other HR representatives or third-party vendors.
  • Compile and maintain HR analytics dashboards with key global metrics such as headcount, turnover, diversity data, and training completion.
  • Collaborate with the Global HR Manager on global talent acquisition efforts, including market research, candidate screening, interview logistics, and relocation processes.
  • Support global mobility processes, including work authorization paperwork, visa tracking, and relocation logistics.
  • Participate in global DE&I (Diversity, Equity, & Inclusion) initiatives and assist with awareness campaigns and event coordination.
  • Provide administrative and logistical support for global town halls, leadership meetings, and HR workshops.
  • Assist in employee engagement surveys globally, including design, distribution, analysis, and action planning follow-up.

Office Administration :

  • Inventory, Management, and order of office supplies.
  • Managing, maintaining, and storing general company documents and files, including softcopy management.
  • Management of incoming and outgoing mail/parcels.
  • Book travel arrangements for the employees.
  • Managing corporate credit cards and expediting the expense reporting process for the accounting team.
  • Responsible for scanning vendor invoices received by mail and storing them digitally. Sending payment remittance to vendors after processing of their payments.
  • Liaising with the landlord and contractors for building work/repairs as needed.
  • Providing administrative support to the management team with meeting/event coordination, scheduling key calls/meetings, preparing meeting materials, proofreading, and editing documents.
  • Supporting the GM with renewal of corporate insurance and various other certifications.

What would make you a great fit?

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • 2+ years of experience in an HR support or coordinator role, with a strong focus on Canadian HR practices.
  • Knowledge of Canadian employment laws and HR compliance requirements.
  • Experience working in a multinational or global organization is a plus.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent interpersonal and communication skills.
  • Proficiency with HRIS systems and Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to handle confidential information with discretion.
