Job Overview
We are looking for a responsible, detail-oriented, and organized Front Desk Administrator to join our team. This role is crucial in providing excellent customer service and ensuring the smooth operation of our administrative tasks. The ideal candidate will have experience in a front desk or administrative role, preferably in a sports office setting, and be proficient in using Google Suite, QuickBooks, and scheduling tools.
Key Responsibilities
1. Lesson Scheduling & Coordination
- Manage lesson schedules based on customer bookings and instructor availability.
- Keep schedules up to date and ensure accuracy in all bookings.
- Communicate any schedule changes or cancellations to instructors and customers in a timely manner.
2. Customer Service & Reception
- Welcome guests warmly, provide facility tours, and answer questions about ski machine training, memberships, and programs.
- Respond to customer inquiries via phone, email, and WeChat in a professional and friendly manner.
- Assist with ski lesson scheduling, rescheduling, and cancellations while ensuring accuracy and efficiency.
- Provide information on facility policies, safety guidelines, and equipment use.
- Support guests in selecting the right packages, lessons, or memberships based on their needs.
3. Equipment Assistance & Preparation
- Assist customers in selecting and properly fitting ski boots, helmets, and protective gear.
- Ensure all ski equipment is adjusted correctly for comfort and safety.
- Help beginners with safety gear and provide guidance on proper usage.
4. Lesson Reminders & Follow-Ups
- Send lesson reminders via phone, WeChat, or email to ensure attendance.
- Track attendance and notify instructors of any no-shows or delays.
- Address customer concerns regarding missed lessons or late arrivals.
5. Team Collaboration
- Liaise with ski instructors, fitness trainers, and management to ensure seamless customer service.
- Support marketing initiatives by promoting events, camps, and special programs to guests.
- Assist in organizing group bookings, birthday parties, and private events.
6. WeChat & Email Communication
- Respond promptly to customer inquiries and booking requests.
- Follow up on unanswered messages to maintain smooth communication.
- Ensure responses are professional, clear, and helpful to facilitate seamless bookings and scheduling.
7. Front Desk & Administrative Support
- Maintain a clean, organized, and welcoming reception area.
- Assist with administrative tasks such as record keeping, inventory management, and merchandise sales.
- Handle customer concerns and escalate issues when necessary.
- Support team members to ensure efficient daily operations.
8. Weekend Availability & Cypress and Other Ski Resorts On-Site Support
- Availability to work weekends as required.
- During snow season, work at the Cypress mountain base to assist with daily snow camp operations, coordinating instructors and clients.
- Help manage on-the-day scheduling adjustments, client inquiries, and any emergency situations.
Qualifications
- Proficient in Google Platform and Microsoft Office.
- Strong administrative skills, including data entry, scheduling, and filing.
- Excellent customer service skills with professional phone and email etiquette.
- Experience handling multi-line phone systems.
- Familiarity with QuickBooks and basic bookkeeping is an asset.
- Ability to multitask and efficiently manage front desk operations.
- Previous experience in a sports, medical, or dental office is a plus.
