Job Overview

We are seeking a detail-oriented and professional Medical Office Assistant to join our healthcare team. The ideal candidate will provide essential administrative and clerical support within a busy medical practice, ensuring smooth operations and excellent patient service. This role requires familiarity with electronic health records (EHR) systems, medical billing, coding, and strong organizational skills to manage patient information accurately and efficiently. Bilingual abilities and clinic experience are highly valued to enhance patient communication and care delivery.

Duties

  • Manage patient intake, appointment scheduling, and front desk operations using systems such as and other EMR/EHR platforms
  • Verify insurance coverage and perform insurance verification procedures
  • Collect payments and process medical billing and ensure compliance with HIPAA regulations
  • Review and update medical records, ensuring accuracy in documentation review and health information management
  • Assist with medical coding tasks including ICD coding for diagnoses and procedures
  • Handle multi-line phone systems with professional phone etiquette; respond to patient inquiries promptly
  • Maintain accurate filing of medical records, both electronic and paper-based
  • Support care plan documentation and coordinate with healthcare providers for efficient clinic operations
  • Perform data entry tasks such as maintaining office documentation, and managing office management systems.
  • Support administrative functions including office management duties, patient service support, and clerical responsibilities such as filing and document organization
  • Ensure compliance with HIPAA guidelines in all aspects of patient information handling

Qualifications

  • Proven experience in a medical office setting or healthcare environment; clinic or dental office experience preferred
  • Proficiency with EMR/EHR systems such as microquest
  • Strong knowledge of medical terminology,
  • Experience with medical billing processes including insurance verification and claims submission
  • Excellent computer skills including Microsoft Office Suite (Word, Excel), 10 key typing skills, and familiarity with office management software like Eaglesoft or Dentrix
  • Ability to handle multiple priorities efficiently in a fast-paced environment while maintaining attention to detail
  • Exceptional customer service skills with professional phone etiquette; bilingual abilities are advantageous
  • Knowledge of HIPAA compliance standards for safeguarding patient privacy and confidentiality
  • Strong organizational skills with the ability to review documentation accurately and manage medical records effectively
