PURPOSE OF THE JOB
The Events & Community Partnerships Officer is responsible for coordinating hospitality activities and events for the organization, lading planning and logistics for all industry events. This position is also responsible for implementing sponsorship and partnership development activities in tandem with the Audience Engagement & Partnerships Officer, specifically event sponsors, vendors, hospitality partners, and community organizations.
1. PRIMARY RESPONSIBILITIES
The primary responsibilities of the Events & Community Partnership Officer include:
· Vision & Strategic Direction: With direction from the Executive Director and in tandem with the Audience Engagement & Partnerships Officer, implement strategies for Cinefest Sudbury as it pertains to partnerships and annual events; particularly conceptualizing hospitality events, ancillary events and activations held during the festival and throughout the year.
· Budget: Coordinate and maintain budgets for hospitality events.
· Development: In collaboration with the Executive Director and the Audience Engagement & Partnerships Officer, contribute to the growth of Cinefest through donor and corporate sponsorship development. Assist with the coordination of corporate partnerships, including the identification and evaluation of potential sponsors, and the development and execution of sponsorship proposals.
· Timelines: Coordinate and maintain event planning and partnership development project timelines; support volunteer needs assessments for ancillary/hospitality events (in collaboration with Cinefest's Volunteer Coordinator).
· Audience Strategies: Assist with the development of strategies to grow investment and increased involvement in the hospitality and events sectors.
· Vendor Relations: Establish relationships with venues/vendors and coordinating the bookings/ rentals/ purchases of venues/materials required for hospitality events.
· On-Site Logistics: Plan and implement all hospitality event set-up, tear down, and follow-up processes.
· Other duties as assigned.
2. INTERACTION WITH PATRONS AND PUBLIC
The successful candidate will be required to interact directly with key Cinefest sponsors and partners, along with support staff, volunteers, patrons and the public at large.
3. PHYSICAL DEMANDS
There are no day-to-day physical demands associated with this position. From time to time there will be setup related to various activities, including hospitality events, that Cinefest Sudbury is involved in, that will require the successful candidate's attention, including moving and transporting rental equipment.
4. WORKING CONDITIONS AND ENVIRONMENT
In general, Cinefest Sudbury operates on a 35-hour work week, 9 AM to 5 PM from Monday to Friday (with an hour for lunch). Due to the dictates of Cinefest activities, the successful candidate can expect to occasionally work unusual hours, mainly evenings and weekends primarily during the annual film festival in September.
5. KNOWLEDGE AND SKILLS REQUIRED
The successful candidate is required to demonstrate the following abilities/knowledge base:
- Minimum 2 years relevant experience in corporate development/sponsor relations and/or hospitality event coordination. Experience with private sector sponsorship engagement/recruitment and/or with non-profit arts & culture sector organizations will be considered a definite asset.
- Ability to support the creation and grow long term, mutually beneficial partnerships, will be considered a definite asset.
- Knowledge/experience within the cultural and hospitality industries
- Flexible, adaptable, organized, with multi-tasking abilities, working well under pressure.
- Self-directed, takes initiative, possesses creative problem-solving skills.
- Excellent time management skills and ability to manage and deliver on competing deadlines.
- Experience as an accomplished convener with strong interpersonal skills, persuasive presentation and public speaking skills will be considered a definite asset.
- Excellent verbal and written communication skills
Bilingualism (French and English) will be considered a key and principal asset for this position, as Cinefest Sudbury operates on a bilingual basis and works with Francophone and French speaking partners.
