Entre Nous Femmes Housing Society (ENFHS) is a charitable not-for-profit housing organization that began almost 40 years ago by three single mothers looking to create more affordable housing for families like theirs. As one of Canada's first women-led charitable housing organizations, we are committed to enhancing people's lives, particularly the lives of women, single-parent families and other equity-deserving groups, by creating communities that provide affordable, safe, and secure housing.
We currently serve over 1200 low- and moderate-income women, children, single-parent families, seniors, and people with disabilities across 471 affordable rental homes in thirteen properties in Burnaby, New Westminster, North Vancouver, Vancouver, and Surrey. By 2027 and 2028, we will be welcoming residents into 400 new homes in Port Moody and Vancouver.

OPPORTUNITY
Entre Nous Femmes Housing Society (ENFHS) seeks a collaborative and inclusive team member with great people and problem-solving skills to join our team as the Rent Review Coordinator to maintain the Society's affordable and mixed-income rental housing portfolio and provide excellent housing services to residents and stakeholders. The Rent Review Coordinator will report directly to the Director, Housing & Property Services. The position is part of the Housing & Property Services team led by the Director of Housing & Property Services.
Position Summary
The Rent Review Coordinator plays a critical role in ensuring the integrity, accuracy, and timeliness of tenant income reviews, rent calculations, lease terms, and data entry across internal and external systems. This role manages all aspects of annual and interim income reviews, ensures compliance with BC Housing requirements, and supports the Housing and Property Services teams by maintaining accurate tenant records, rent contributions, and building data. In addition, the role will also support residents to apply for provincial rent subsidy programs, assist with the lease-up of new homes and support the relocation services team as required.
Key Duties and Responsibilities
Income Reviews & Rent Calculations
- Prepare and send notices to tenants for annual and interim income reviews.
- Collect and verify tenant income documentation, ensuring accuracy and compliance.
- Calculate rent contributions based on income and submit rent subsidy forms for approval.
- Generate letters to tenants re: tenant rent contributions, arrears, and income review progress as required.
- Enter tenant rent and income information into the BC Housing Registry and Arcori.
- Track and maintain schedules for annual and interim income reviews.
- Communicate with tenants regarding missing documents, calculation results, and appeal processes.
- Work directly with tenants to support and encourage compliance with document submission requirements.
- Coordinate and manage income review clinics to support residents.
- Where tenants continue to refuse to comply, prepare recommendations to Housing Managers regarding next steps in accordance with policy and Section 49.1 of the Residential Tenancy Act.
- Conduct investigations to confirm the accuracy of tenant information.
- Maintain digital records (scan) of all rent calculations packages.
Data Management & Systems
- Maintain accurate tenant records across all systems, including Arcori, BC Housing Registry, and OneDrive.
- Enter new building and tenant data into Arcori, ensuring full setup of units, rent structures, and tenant profiles.
- Audit system data regularly to identify and correct errors, ensuring consistency across platforms.
Financial Support
- Provide guidance and support to eligible tenants through the application process for provincial rent subsidy programs (e.g., SAFER, RAP, RAHA), helping them access available financial assistance to maintain housing stability.
- Support tenants experiencing financial hardship by helping them explore and apply for available financial resources or assistance programs to meet rent payments and other housing-related obligations such as chargebacks or fines.
Reporting & Compliance
- Generate monthly and annual reports on income reviews, arrears, lease-up progress, and rent adjustments.
- Support compliance with internal reporting requirements.
Other Duties
- Assist in drafting and issuing retrofit notices, project updates, and other communications to ensure tenants are regularly informed about the scope, schedule, and progress of retrofit projects.
- Collaborate with Housing Managers and the Property Services team to ensure smooth operational workflows.
- Maintain strict confidentiality and adhere to privacy legislation in handling tenant data.
- Provide assistance to the Housing Services team in processing lease-ups in new buildings.
- Provide assistance to the Relocation Team in coordinating and facilitating the return of tenants to ENFHS housing following temporary relocation.
- Perform other related duties assigned.
Qualifications & Skills
- Post-secondary education in business administration, accounting, property management, or a related field, or equivalent experience.
- Minimum 3 years' experience in income review processes, social housing, property management, or related administrative/technical role.
- Strong knowledge of income review processes, rent-geared-to-income (RGI) calculations, and BC Housing requirements.
- Proficiency with Arcori or similar property management software.
- Strong data entry accuracy, organizational skills, and attention to detail.
- Ability to analyze data, prepare reports, and ensure compliance.
- Aptitude in decision-making and problem-solving.
- Ability to work independently and well under pressure.
- Ability to handle multiple demands, tight timelines and competing priorities.
- An understanding of diversity, equity, inclusion, decolonization, and indigenization best practices and principles.
- High level of digital literacy and experience with MS Office Suite Products: Outlook, Word, Excel, Teams, OneDrive, Windows-based operating systems, internet, and mobile technology.
- Experience with subsidized and market rental housing would be an asset.
- Excellent communication and interpersonal skills, with the ability to explain complex processes to tenants and staff.
- Must have access to reliable transportation and a valid driver's license.
Other
- The position is a hybrid, where 1 day a week may be remote and in-person work for 4 days a week after passing probation.
- The position may require travel to where ENFHS buildings are located in the Metro Vancouver region (Burnaby, New Westminster, North Vancouver, Port Moody, Vancouver, Surrey.
- The position has a three (3) month probationary period.
- A criminal record check for working with vulnerable children and adults is required for this position (paid for by ENFHS).
- The successful candidate must be fully vaccinated against COVID-19 or be willing to get vaccinated before their start date.
COMPENSATION
Entre Nous Femmes Housing Society's Rent Review Coordinator position is budgeted to pay competitively within the sector.
The salary for this role is:
- $58,500 to $68,250/year based on a 37.5-hour, 5-day work week commensurate with experience
