Entre Nous Femmes Housing Society (ENFHS) is a charitable not-for-profit housing organization that began almost 40 years ago by three single mothers looking to create more affordable housing for families like theirs. As one of Canada's first women-led charitable housing organizations, we are committed to enhancing people's lives, particularly the lives of women, single-parent families and other equity-deserving groups, by creating communities that provide affordable, safe, and secure housing.

We currently serve over 1200 low and moderate-income women, children, single-parent families, seniors, and people with disabilities across 471 affordable rental homes in thirteen properties in Burnaby, New Westminster, North Vancouver, Vancouver, and Surrey. By 2027 and 2028, we will be welcoming residents into 400 new homes in Port Moody and Vancouver.

OPPORTUNITY

Entre Nous Femmes Housing Society (ENFHS) seeks a collaborative and inclusive team member with great people and problem-solving skills to join our team as the Leasing Coordinator to maintain ENFHS's affordable and mixed-income rental housing portfolio and provide excellent housing services to residents and stakeholders. The Leasing Coordinator will report directly to the Director, Housing & Property Services. The position is part of the Housing & Property Services team led by the Director of Housing & Property Services.

Position Summary

The Leasing Coordinator is responsible for supporting Housing Managers to coordinate the full leasing process for ENFHS's affordable and market housing portfolio. This role ensures that vacancies are filled efficiently, fairly, and in accordance with ENFHS policies, funders' guidelines, and the Residential Tenancy Act. The Leasing Coordinator plays a key role in supporting individuals and families to access safe, secure, and affordable housing while upholding ENFHS's mission, vision and values.

Key Duties and Responsibilities

Leasing & Tenant Placement

  • Coordinate the full leasing cycle from inquiry to move-in with Housing Managers and administrators.
  • Review applications for eligibility, completeness, and income verification.
  • Maintain and manage waitlists and tenant records.
  • Screen & vet applicants through eligibility reviews, reference checks, and documentation verification.
  • Develop & maintain a clear understanding of building's unit mix, layouts, accessibility features, configuration & amenities to ensure qualified applicants are placed in the correct and designated units.
  • Recommend offers to the Housing Manager based on chronological order, priority placements, and internal policies.
  • Conduct landlord references, credit checks and other screening measures as required to assess applicant suitability.
  • Schedule and conduct unit viewings, orientation, and lease-signing appointments.
  • Coordinate open houses to support the marketing of new or existing vacant units.
  • Prepare tenancy agreements, addendums, parking agreements, and other move-in documentation.
  • Ensure applicants understand tenancy rights, responsibilities, rent calculation, and building rules.
  • Provide assistance to the Relocation Team in coordinating and facilitating the return of tenants to ENFHS housing following temporary relocation.

Vacancy Management

  • Work closely with Property Services to ensure units are ready for occupancy in a timely manner.
  • Track turnover timelines and report delays.
  • Coordinate move-ins to reduce vacancy loss and ensure smooth tenant onboarding.
  • Work with the BC Housing Registry, referral partners and ENFHS' waitlist to screen and select eligible applicants.
  • Assist with unit inspections as needed.
  • Place vacancy ads on social media platforms and other approved channels to increase visibility.
  • Collaborate with external marketing partners to promote awareness of available market units and support leasing targets.

Administration

  • Coordinate and manage lease-up processes for new buildings.
  • Manage lease-up advertising on print and digital media.
  • Prepare tenancy agreements, calculate initial rent contributions, and set up new tenant files in Arcori.
  • Coordinate with Housing Managers and Property Services to ensure units are move-in ready.
  • Provide clear communication to tenants regarding move-in procedures, documentation, and building policies.
  • Track and report on lease-up progress to the Housing Manager and Director of Housing & Property Services.

Customer Service & Applicant Support

  • Respond to inquiries from applicants, community partners, and support agencies.
  • Assist applicants with understanding eligibility requirements and documentation needs.
  • Provide guidance and support to eligible tenants through the application process for rent subsidy programs (e.g., SAFER, RAP, RAHA), helping them access available financial assistance to maintain housing stability.
  • Support tenants experiencing financial hardship by helping them explore and apply for available financial resources or assistance programs to meet rent payments and other housing-related obligations such as chargebacks or fines.

Documentation

  • Maintain accurate and confidential tenant files in accordance with privacy legislation.
  • Prepare monthly leasing reports, vacancy updates, and waitlist summaries.
  • Support compliance with internal reporting requirements.

Other Duties

  • Work with Housing Managers and Finance regarding move-ins, rent charges and documentation.
  • Collaborate with Housing Managers and the Property Services team to ensure smooth operational workflows.
  • Maintain strict confidentiality and adhere to privacy legislation in handling tenant data.
  • Perform other related duties assigned.

Qualifications & Skills

  • Post-secondary education in business administration, accounting, property management, or a related field, or equivalent experience.
  • Minimum 3 years' experience in leasing, property management, or related administrative/technical role.
  • Strong knowledge of Residential Tenancy Act.
  • Strong customer service skills, with the ability to work respectfully with vulnerable populations
  • Proficiency with Arcori or similar property management software.
  • Ability to analyze data, prepare reports, and ensure compliance.
  • Aptitude in decision-making and problem-solving.
  • Ability to work independently and well under pressure.
  • Ability to handle multiple demands, tight timelines and competing priorities.
  • An understanding of diversity, equity, inclusion, decolonization, and indigenization best practices and principles.
  • High level of digital literacy and experience with MS Office Suite Products: Outlook, Word, Excel, Teams, OneDrive, Windows-based operating systems, internet, and mobile technology.
  • Experience with subsidized and market rental housing would be an asset.
  • Excellent communication and interpersonal skills, with the ability to explain complex processes to tenants and staff.
  • Must have access to reliable transportation and a valid driver's license.

Other

  • The position is a hybrid, where 1 day a week may be remote and in-person work for 4 days a week after passing probation.
  • The position may require travel where ENFHS buildings are located in the Metro Vancouver region (Burnaby, New Westminster, North Vancouver, Port Moody, Vancouver, and Surrey.
  • The position has a three (3) month probationary period.
  • A criminal record check for working with vulnerable children and adults is required for this position (paid for by ENFHS).
  • The successful candidate must be fully vaccinated against COVID-19 or be willing to get vaccinated before their start date.

COMPENSATION

Entre Nous Femmes Housing Society's Leasing Coordinator position is budgeted to pay competitively within the sector.

The salary for this role is:

  • $58,500 to $68,250/year based on a 37.5-hour, 5-day work week commensurate with experience
