Job Summary

Our small Chartered Professional Accounting firm, Max Eisner Consulting & Accounting, is seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will have strong clerical skills, excellent communication abilities, and proficiency in various office software programs. This role involves managing emails and client communications, data entry, scheduling, and providing exceptional customer service. The successful candidate will play a vital role in maintaining efficient office workflows and ensuring a professional environment.

Role Includes

  • Responsible for general administrative tasks as directed by the owner
  • Oversee daily office operations and ensure productive workflow to enhance overall office efficiency
  • Scheduling meetings / managing owner's calendar
  • Managing owner's email and the admin email
  • Communicating with clients by email, phone and in person
  • Managing the intake of client documents and delivery of finalized materials
  • Sending year-end tax packages and personal tax returns
  • Filing tax returns
  • Office maintenance (including cleaning, filing and organizing records)
  • Maintaining an organized filing system for all documents, both physical and digital
  • Creating an efficient system for tracking incoming and outgoing work and paper records
  • Data Entry
  • Jumping in to help with various office tasks as needed
  • Managing receivables and following up with clients on outstanding bills

Required Skills & Qualifications

  • Prior clerical or administrative experience preferred
  • Excellent written and verbal communication skills
  • Strong technology skills, with the ability to learn new software programs
  • A friendly, professional attitude
  • High attention to detail and accuracy
  • Able to work independently and collaboratively
  • Ability to build and maintain strong relationships with internal and external parties
  • Proven ability to handle sensitive information with confidentiality
  • Completion of an accounting certificate or an office administration diploma is beneficial but not mandatory

Benefits

  • Competitive Salary: $40,000 - $45,000 annually
  • 3 weeks vacation
  • Health and Dental Insurance, after 3 months

This role offers an opportunity to be an integral part of a professional team and is a full-time position in a relaxed office, 8:00-4:00 with some flexibility.
