Administrative Assistant / Bookkeeper

Job Summary

Location: In-office – Langley, BC

Salary Range: $50,000 – $60,000 per year, based on experience, skills, and level of responsibility assumed at hire

We are seeking an experienced Administrative Assistant / Bookkeeper to support office operations, client file management, and bookkeeping functions. This is an in-person role suited to a highly organized, detail-oriented professional with prior professional office experience.

Responsibilities

  • Answer and manage incoming office phone calls and emails
  • Follow up with clients in a courteous and professional manner by phone
  • Handle client file intake and maintain accurate, organized digital records
  • Assemble and finalize client files, including preparing and compiling documentation
  • Coordinate secure document sharing with clients using ShareFile
  • Send and manage DocuSign packages
  • Prepare and issue invoices using Square
  • Manage accounts receivable and follow up on outstanding invoices
  • Perform bookkeeping tasks, initially using Excel-based summary tracking
  • Assume increasing bookkeeping and accounting responsibilities based on experience and demonstrated accuracy

Qualifications

  • Prior experience in an administrative or bookkeeping role required
  • Experience in a public practice accounting firm or professional office environment is a strong asset
  • Experience with bookkeeping or accounting software (e.g., Sage, QuickBooks Online, Profile, Caseware) is an asset
  • Post-secondary education or certifications in administration, bookkeeping, or accounting are preferred
  • Strong computer skills, including Microsoft Word and Excel
  • Exceptional attention to detail and accuracy
  • Strong organizational and time-management skills
  • Professional written and verbal communication skills
  • Comfortable handling confidential client and financial information
  • Must be available to work in-office in Langley

Compensation & Leveling

The posted salary range reflects the full scope of this role. Starting compensation within the range will be determined based on relevant experience, demonstrated skill level, and the responsibilities assumed at hire. Opportunities to take on additional bookkeeping or accounting functions—and corresponding compensation growth—are available based on performance, accuracy, and business needs.

Pay: $50,000.00-$60,000.00 per year
