Job Overview

We are seeking a dynamic and detail-oriented Administrative & Accounts Payable Assistant to join our team. In this vital role, you will support our financial operations by managing accounts payable processes, ensuring accurate data entry, and assisting with administrative tasks. Your proactive approach will help maintain smooth financial workflows and contribute to the overall efficiency of our organization.

Job Responsibilities

Accounts Payables & Data Entry

Accounts payable and administrative accounting activities across four companies,

including:

  • Entering all invoices, receipts, bills, and expenses into QuickBooks.
  • Ensuring accurate and timely data entry.
  • Initiating payments through Plooto and ensuring all required approvals are obtained.
  • Monitoring outstanding payables and ensuring all payments are made on time.
  • Collecting additional documents such as bills, government notices, and receipts to ensure timely payment of all obligations.
  • Acting as a backup for the Accounts Payable role when that staff member is away.

Filing, Documentation & Organization

  • Maintaining an organized and current filing system (physical and digital).
  • Coordinating with internal staff to organize and update file storage.
  • Ensuring proper record-keeping for all accounting and administrative documentation.

Regulatory Filings & Remittances

  • Preparing and processing regulatory payments such as WSIB and other government remittances.
  • Ensuring all deadlines are tracked and met.

Payroll

  • Completing bi-weekly payroll for staff across Mrakovic companies, ensuring accuracy and confidentiality.

Administrative Support

  • Answering telephone calls, taking messages, and handling calls related to your duties.

Performing administrative tasks, including:

  • Credit applications
  • Staff confirmation letters
  • Completing various forms and documents as needed
  • Assisting with packaging design coordination and inventory management when required.
  • Other duties as assigned
