About the Role The Account Payable Administrator plays a crucial role in the financial operations of our construction company, ensuring that all vendor invoices are processed accurately and in a timely manner. This position is responsible for maintaining the integrity of the accounts payable ledger, which directly impacts our cash flow and vendor relationships. The successful candidate will collaborate closely with project managers and procurement teams to verify that all expenses are justified and properly documented. Additionally, this role involves reconciling accounts and preparing reports that provide insights into our spending patterns. Ultimately, the Account Payable Administrator contributes to the overall financial health of the organization by ensuring that all obligations are met efficiently and effectively. Minimum Qualifications High school diploma or equivalent; associate's degree in accounting or finance preferred. Proven experience in accounts payable or a similar financial role, preferably within the construction industry. Strong understanding of accounting principles and practices. Preferred Qualifications Experience with accounting software such as QuickBooks, Sage, or similar platforms. Knowledge of construction industry-specific financial regulations and practices. Certification in accounts payable or related field (e.g., AAP, AP certification). Responsibilities Process and manage all accounts payable transactions, including vendor invoices and expense reports. Verify accuracy of invoices against purchase orders and contracts, ensuring compliance with company policies. Maintain vendor records and manage relationships to resolve any discrepancies or issues. Prepare and process weekly payment runs, ensuring timely payments to vendors. Assist in month-end closing activities, including account reconciliations and reporting. Skills The required skills for this role include strong attention to detail and organizational abilities, which are essential for accurately processing invoices and maintaining vendor records. Proficiency in accounting software is crucial, as it enables the administrator to efficiently manage transactions and generate reports. Effective communication skills are necessary for liaising with vendors and internal teams to resolve discrepancies. Analytical skills are also important, as the administrator will need to assess spending patterns and provide insights during financial reviews. Preferred skills, such as knowledge of industry regulations, will enhance the administrator's ability to navigate complex financial scenarios specific to the construction sector.
