Northland Volkswagenis looking for Service Coordinator/Receptionist. This role is suitable for individuals who are passionate about delivering exceptional customer service to front-line customers in our Service Department. You will play a key role in curating the service experience for our valued clients who choose to service their vehicles at our dealership. Your love of the automotive industry, cars in general, and your commitment to delivering the highest level of customer service will ensure your ultimate success.

Your area of focus:

In this role, you will be the first point of contact for our service customers, responsible for scheduling appointments, managing the service calendar, and ensuring a smooth and efficient service process. Key responsibilities include answering phone calls and emails, providing accurate information about our services, and coordinating with service advisors and technicians to optimize workflow. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to thrive in a fast-paced environment.

What drives your day to day:

  • Meet and greet clients arriving for service appointments with a positive, helpful attitude.
  • Provide exceptional customer service to our valued clients by exceeding their needs and expectations.
  • Answer, forward, and screen phone calls within the Service Department in a professional manner
  • Maintain service and warranty records management and filing processes.
  • Provide clients with information and updates regarding the status of vehicle repairs.
  • Familiarize client with Service department personnel and Service areas.
  • Work closely with department managers to ensure client satisfaction.
  • Maintain an organized, clean and safe work area.
  • Other duties as assigned.

What are the must haves?

  • Completion of a High School Diploma or equivalent is required.
  • Experience in the Automotive and/or Hospitality industry is preferred.
  • Knowledge of CDK computer operating system or similar systems would be considered an asset.
  • Ability to be professional and deliver exceptional service to clients
  • Conscientious, thorough, accurate, and reliable when performing and completing job tasks.
  • Excellent interpersonal, verbal and written communication skills.
  • Ability to communicate information accurately, clearly, and as intended.
  • Accurate and efficient typing skills.
  • Strong organizational skills and attention to detail.
  • Proven ability to multi-task in a high-volume, fast-paced working environment, frequently under urgent deadlines.
  • Sound, practical business judgment, and a problem-solving, client focused, results oriented approach.
  • Excellent document creation, reviewing and proofreading skills with a high level of proficiency related to business correspondence and communications.
  • Process-oriented; superior attention to detail and accuracy.
  • Results-driven and career focused individual with an entrepreneurial spirit and a strong desire to be successful.
  • Valid driver's license and safe driving record required.
