Job Description

We are a growing multinational manufacturing company located in Carleton Place seeking a bright energetic professional to join us as our Office Administrator. Responsibilities

  • Greet visitors, answer incoming phone calls and emails, and direct inquiries to the appropriate departments or personnel.
  • Manage schedules, appointments, meetings, and travel arrangements for staff and management.
  • Coordinate time-off reporting for hourly employees via T-Sheets, including sick days, partial absences, and vacations, to support accurate time entries and payroll processing.
  • Perform clerical tasks such as preparing documents, spreadsheets, presentations, and handling incoming/outgoing correspondence.
  • Handle receipts for corporate expenses for the Carleton Place office and travel expenses for the staff located there.
  • Order and track office supplies, equipment, and furniture, while overseeing inventory to prevent shortages.
  • Oversee daily office operations to ensure efficiency and a positive work environment.
  • Assist with HR tasks, such as onboarding new employees, coordinating training, and supporting general administrative needs.
  • Act as a liaison between teams, external partners, and vendors, facilitating communication and resolving issues.

Qualifications

  • High school diploma or equivalent required;.
  • At least 1 year of experience in office administration, clerical, or related roles;
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and, ideally, familiarity with CRM software (i.e. Salesforce).
  • Excellent verbal and written communication skills, with strong interpersonal abilities to interact professionally with staff, clients, and vendors.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks, manage time effectively, and handle multiple priorities in a fast-paced environment.
  • Ability to maintain confidentiality of sensitive information and demonstrate a proactive, detail-oriented

Job type and hours

Full-time position on-site at our Carleton Place facility. Primarily day shift, with flexibility to work longer hours on occasion as required.
