Reporting to the Director of Human Resources, the Administrative Assistant provides essential support to the department's day-to-day operations. He/she prepares and updates documents, coordinates internal communications, organizes meetings, and follows up on files, contributing to the efficiency and smooth flow of operations.

Sounds great, but what does a typical day as an Administrative Assistant look like?

  • Promptly and courteously answer all incoming calls and direct them to the appropriate departments or individuals. Take accurate messages and ensure they are effectively relayed to the intended recipients;
  • Receive, sort, and distribute incoming mail and packages in a timely manner. Ensure efficient management of deliveries and outgoing shipments;
  • Act as a key administrative point of contact for the region, ensuring clear, professional, and timely communication with internal teams, partners, and external contacts;
  • Provide broad administrative support to multiple departments based on changing priorities, including document preparation, data entry, reporting, file management, and follow-ups;
  • Support the coordination of virtual meetings and regional activities, including scheduling, preparing materials, documenting action items, and ensuring follow-through;
  • Assist leaders and team members with day-to-day administrative needs, helping streamline workflows and maintain operational efficiency;
  • Coordinate the ordering and replenishment of administrative supplies and materials (e.g. stationery, basic equipment, and other operational needs), ensuring availability while respecting internal processes;
  • Contribute to the development, documentation, and continuous improvement of administrative processes and best practices in a growing region;
  • Help manage shared administrative tools, databases, and platforms, ensuring information is accurate, up to date, and well organized;
  • Collaborate closely with colleagues to support ongoing projects, special initiatives, and ad hoc requests, adjusting priorities as required;
  • Monitor deadlines, track progress on assigned tasks, and proactively flag risks or follow-ups to ensure nothing falls through the cracks;
  • Support basic coordination with external vendors or service providers, when applicable;
  • Take on new responsibilities and increased autonomy over time, based on operational needs, business growth, and individual strengths.

  • Strong organizational and time-management skills to handle calls while completing other tasks;
  • Excellent customer service skills and a professional attitude;
  • Strong organizational abilities and the capacity to prioritize tasks effectively;
  • Excellent verbal and written communication skills;
  • Proficiency in office software such as Microsoft Office (Word, Excel, PowerPoint, Outlook);
  • Ability to work independently and as part of a team;
  • Attention to detail and accuracy;
  • Ability to handle confidential information professionally.
