Key Responsibilities

  • Greet and welcome all patients and visitors with warmth and professionalism.
  • Manage a busy front desk — handling multiple phone lines, emails, and faxes efficiently.
  • Schedule and confirm patient appointments while optimizing provider schedules.
  • Maintain accurate and organized patient records and clinical documentation.
  • Process payments, assist with billing, and manage insurance claims and referrals.
  • Coordinate communication between therapists, patients, and other healthcare providers.
  • Support staff by following through on administrative instructions and clinic procedures.
  • Handle general office duties such as scanning, faxing, and managing supplies.
  • Contribute to a positive, team-oriented work environment.

Qualifications

  • Previous experience in a medical or physiotherapy clinic setting is an asset.
  • Excellent communication and multitasking skills.
  • Strong organizational and problem-solving abilities.
  • Professional, friendly, and dependable with a positive attitude.
  • Proficient in using clinic management or scheduling software (experience with Clinicmaster app or any medical software is an asset).
  • Ability to work efficiently under pressure and manage competing priorities.
  • Reliable, punctual, and motivated to grow with the clinic.
