We're hiring a Client Service Coordinator to support our client-facing work and ensure our workflows run smoothly.

What You'll Do

  • Answer incoming phone calls with professionalism and client care
  • Manage the shared email inbox, partner calendar, and client communications to support meeting flow
  • Triage incoming client requests and route them appropriately to protect the team's time and focus
  • Receive and acknowledge incoming client records (physically and electronically) and coordinate with Operations to ensure timely system intake
  • Schedule client meetings and send confirmations and reminders
  • Prepare meeting materials, agendas, and follow-up summaries
  • Assist clients with authorizing Compass CPA as their representative with the CRA, and other common questions around how to pay CRA, using our e-signature platform and portal, etc.
  • Liaise with clients throughout their engagement and act as a first point of contact
  • Call clients proactively when records are missing, incomplete, or overdue
  • Draft correspondence and internal documentation with strong attention to detail
  • Maintain structure, SOPs, and process documentation relating to the role
  • Assemble onboarding and welcome packages for new clients
  • Assemble offboarding packages for departing clients
  • Cross-cover essential duties of the Operations Coordinator during absences (critical tasks only)
  • Participate in staggered lunch scheduling to ensure phones are covered during business hours
  • Various other administrative duties relating to clients as assigned

Qualifications

  • 3+ years experience in a professional administrative or executive support role (legal, medical, financial, insurance, or similar environments are strong assets)
  • Strong written and verbal communication skills
  • Highly organized with strong task follow-through
  • Comfortable learning new systems and software
  • Reliable, discreet, and comfortable working with confidential information
  • Ability to prioritize, shift gears, and keep work moving without being asked twice
  • On-site availability in Sudbury (this is an in-office role due to client-facing duties)
