London, Ontario, Canada The Human Resources Business Group Full time $48,000 - $104,000 per year

About Our Client

Our client is an entrepreneurial real estate investment and development company focused on acquiring, improving, and managing a growing portfolio of residential and commercial assets. With an emphasis on fast execution, innovative thinking, and operational clarity, the company is led by a driven, visionary founder scaling multiple projects simultaneously.

Our client has an immediate opening for a resourceful Executive Assistant who excels in a high-energy environment and enjoys supporting an executive with big ideas and ambitious goals. The ideal candidate has experience managing complex schedules, coordinating operational needs, and supporting leaders in small, fast-moving organizations. Experience in real estate, construction, or property management is an advantage. A proactive, detail-oriented, and solutions-focused mindset is essential.

Overview

We're seeking a highly organized, emotionally intelligent Executive Assistant / Integrator to provide direct support to a real estate development and finance entrepreneur across both business and personal domains.

This role blends classic executive assistance with "Integrator" functions—translating vision into action, closing loops, and ensuring follow-through across multiple ventures, projects, and priorities. The ideal candidate is grounded, proactive, and thrives on bringing order to creative, fast-moving environments.

If you love organization, clarity, and problem-solving, and you're energized by helping a visionary leader stay focused and effective, this role is for you.

Key Responsibilities

1. Executive & Operational Support

  • Manage our client's calendar, priorities, and task list (Google Workspace / Tasks / Sheets).
  • Protect focus blocks and ensure commitments are tracked and completed.
  • Act as an accountability partner—gently but persistently keeping our client on track.
  • Prepare daily and weekly briefings summarizing priorities, deadlines, and reminders.
  • Support meetings: schedule, prepare agendas, capture actions, and follow up.
  • Coordinate communication flow across projects, including:
  • Leasing and operational stabilization of a 162-unit apartment building
  • Commercial real estate finance and investment files
  • Personal home construction (Deer Creek) and other related projects

2. Administrative & Project Coordination

  • Manage email correspondence, scheduling, and follow-up with consultants, lenders, trades, borrowers, team members, and partners.
  • Track project timelines, tasks, and deliverables across multiple business and personal initiatives.
  • Maintain organized document management systems, filing, and contract coordination.
  • Support logistics for travel, meetings, and events (business and personal).
  • Track expenses periodically, coordinate with the finance team, and make purchases as required.

3. Personal & Household Support

  • Calendar management and booking personal appointments
  • Liaise with house manager and cleaner

Ideal Profile

  • Organizationally gifted: thrives on checklists, timelines, and keeping things moving.
  • Emotionally steady: calm under pressure and comfortable supporting high-energy personalities.
  • Strong communicator: clear, respectful, and direct—able to manage up and hold accountability without hesitation.
  • Tech-savvy: proficient with Google Workspace (Drive, Docs, Sheets, Tasks, Calendar).
  • Adaptable: moves fluidly between executive-level coordination and hands-on errands.
  • Trustworthy & discreet: manages confidential personal and business matters with care.
  • Proactive: anticipates needs, removes friction, and keeps things moving forward.
  • Driver's license and vehicle required.

Success Looks Like

  • Our client's priorities, calendar, and commitments are reliably organized and executed.
  • Business and personal to-dos no longer fall through the cracks.
  • Meetings are well-prepared, actions are tracked, and follow-ups happen automatically.
  • Communication loops close smoothly without reminders.
  • Our client operates calmly and strategically rather than reactively.
  • Client experiences reliability, peace, and confidence through consistent follow-through.

Personality Fit

You are the calm in the storm—a grounded, confident presence who brings clarity and structure to complex lives. You appreciate visionaries and understand how to help them land the plane. You take pride in seeing things through to completion, not just starting them. You don't take disorganization personally—you solve it.
