Job Summary:
We are hiring an Executive Assistant to work with one of our accounting firm clients in London The Executive Assistant will provide high-level administrative and client support to the Partners, managing schedules, communications, and workflow coordination with professionalism and discretion. This role involves handling client-facing interactions, organizing tax and audit documentation, maintaining accurate records, and supporting key deadlines. The ideal candidate is organized, polished, and detail-oriented, with strong communication skills, advanced MS Office proficiency, and experience in an accounting or professional-services environment.

Shift Structure:
- Monday to Friday; Day Shift 9am to 5pm *Friday's off in the summary (still receive full pay).
- 32 hours/week in the summer, but 44-45hours/weeks in the Spring due to busy Tax Season
Compensation Structure:
$55,000-$65,000 (based on experience) + full benefits + 3 weeks vacation to start
Responsibilities:
Administrative & Executive Support
- Manage executive calendars, schedule meetings, coordinate appointments, and arrange travel for partners and senior leadership.
- Prepare, edit, and proofread correspondence, reports, presentations, and client-facing documents.
- Handle confidential financial, personnel, and client information with the highest discretion.
- Prioritize and manage multiple tasks, competing deadlines, and evolving priorities.
- Take accurate, organized notes during meetings with partners.
Client & Communication Management
- Act as the primary point of contact for partners—liaising between executives, clients, and internal teams.
- Draft and prepare client communications, engagement letters, meeting agendas, and follow-ups.
- Deliver a polished, professional client experience in person, by phone, and via email.
- Coordinate and track client onboarding documentation, ensuring all required forms are complete and compliant.
Accounting & Compliance Support
- Organize and maintain tax files, audit packages, financial statements, and client records.
- Track deadlines for tax filings, audit cycles, compliance obligations, and partner deliverables.
- Maintain accurate digital and physical filing systems in line with firm procedures.
- Assist accountants with data gathering, document retrieval, and workflow updates.
- Support invoicing and collections activities.
Project & Workflow Coordination
- Monitor progress on partner priorities and ensure follow-through on key tasks.
- Maintain internal project trackers, manage deadlines, and issue follow-up reminders.
- Coordinate internal meetings, staff training sessions, and firm events.
- Assist with the preparation of year-end, month-end, and busy-season administrative packages.
Software & Data Management
- Use MS Office Suite (especially Excel) to produce reports, manage data, and support partner requests.
- Perform accurate, high-volume data entry as required.
Skills/Qualifications:
- Strong executive assistant or senior administrative support experience.
- Previous financial background is an asset (AP/AR/Admin, etc).
- Exceptional written and verbal English communication skills.
- Highly organized, detail-oriented, and able to handle large volumes of data.
- Previous experience within an accounting firm or accounting department is an asset; professional-services backgrounds such as law firms are also suitable.
- Professional, and personable-comfortable in client-facing environments.
- Demonstrated ability to handle sensitive and confidential information.
- Strong proficiency in MS Office, especially Excel; ability to learn firm-specific software quickly.
- Ability to work under pressure, manage competing deadlines, and adapt to shifting priorities.
- Outgoing, proactive, and able to represent partners with professionalism.
