Position Overview:
We are seeking a motivated and detail-oriented
Reception/Administrative Assistant
to join our team for a three-month contract position to assist during the busy personal tax season. If you're organized, customer-focused, and looking to contribute to a fast-paced, dynamic environment, we'd love to hear from you
As a
Reception/Administrative Assistant
, you will play a crucial role in ensuring smooth operations during the busy personal tax season. Your primary responsibilities will include compiling client tax packages, managing reception duties, and providing administrative support to the team. You will work closely with both clients and colleagues to ensure that deadlines are met, and services are delivered seamlessly.
Key Responsibilities:
Client Package Compilation
- Prepare and compile client tax packages, ensuring all packages are complete and accurate.
- Coordinate with clients to arrange upload, pickup or mailout of packages.
Reception and Client Interaction:
- Answer phone calls, emails, and in-person inquiries in a professional and friendly manner.
- Greet clients and visitors, check in client documents.
- Advise Partner or manager of appointment arrival and seat client in the appropriate room booked.
Administrative Support:
- Assist with filing, scanning, and organizing both physical and digital documents.
- Other admin duties as required.
Qualifications:
- Previous administrative experience, preferably in an office setting.
- Excellent communication skills, both written and verbal.
- Strong attention to detail and ability to handle sensitive information.
- Ability to work effectively under pressure and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Previous experience in a tax or accounting firm is a plus but not required.
- Positive attitude, excellent customer service skills, and professional demeanor.
