Accounting and Admin Assistant
ServiceMaster Restore Victoria is seeking a highly organized and detail-oriented Assistant to support our administrative and billing operations. This role is essential in ensuring timely, accurate, and professional operations for our restoration assignments. The ideal candidate will collaborate closely with the Accounting department, Compliance Manager, Project Managers (PMs), and the operations team to streamline processes, track project financials, and maintain strong communication with insurance partners and trades.
Job description
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Generate and process accurate invoices for customers based on provided data and billing information
- Maintain up-to-date records of invoices and customer information in the billing system
- Stay updated on billing policies, procedures, and regulations to ensure compliance with company and industry standards
- Collaborate with internal teams, such as Project Managers and Accounting, to gather necessary information for billing purposes
- Respond to customer inquiries regarding billing issues or discrepancies in a professional and timely manner
Requirements
- Prior experience as an invoicing assistant, data entry clerk or in a similar role
- Strong computer skills, including Microsoft Office, and ability to quickly learn new software
- Strong problem-solving skills with excellent attention to detail
- Highly organized, with an ability to manage multiple tasks, set priorities, and meet deadlines
- Knowledge of basic accounting principles; QuickBooks desktop experience is an asset
- Effective communication skills to interact with customers and internal team members
Nice to have
- Experience or familiarity with service billing processes
- Previous experience in administration, invoicing, insurance billing, or restoration
- Familiarity with XactAnalysis (XA) or similar claims platforms preferred
