Canada Rail Vacations is looking for a Bookkeeping & Office Administrator to support our Finance & HR team. This is an administrative role focused on executing established bookkeeping and office processes accurately and consistently.

You will work closely with the Finance & HR Manager, providing day-to-day financial and administrative support that helps keep our operations running smoothly. This role is ideal for someone who enjoys structure, accuracy, and being the reliable person behind the scenes.

This position is fully in-office and requires regular on-site presence at our Calgary location.

What You'll Do

Bookkeeping & Financial Support

  • Process accounts payable and accounts receivable transactions
  • Enter supplier invoices, credit card charges, reimbursements, and expenses
  • Assist with monthly bank and credit card reconciliations
  • Prepare and maintain documentation for month-end and year-end reporting
  • Support payroll tracking and documentation, as required
  • Maintain accurate and well-documented records in QuickBooks Online

Office & Administrative Support

  • Provide on-site administrative support for daily office operations
  • Maintain organized digital, financial, and administrative filing systems
  • Manage vendor, invoice, and payment records
  • Assist with internal reporting, audits, and financial reviews
  • Order and manage office supplies
  • Keep the office clean, organized, and professional
  • Coordinate couriers, deliveries, and mail as required
  • Perform other administrative duties as required

IT & Systems Support (Internal)

  • Provide day-to-day, on-site support to staff with office technology and systems, and liaise with external IT providers when issues require escalation
  • Assist with setting up user access and helping staff with basic issues related to computers, printers, phones, and other office equipment
  • Support team members with everyday questions related to email, shared drives, Microsoft 365, Teams, and internal tools
  • Help keep records organized for systems, user access, software subscriptions, and office equipment

What We're Looking For

  • Experience in bookkeeping, accounting support, or office administration
  • Strong working knowledge of QuickBooks Online
  • Proficiency with Microsoft Office (Excel, Outlook, Teams)
  • Comfortable navigating multiple third-party portals and online systems
  • Excellent attention to detail and accuracy
  • Strong organizational and time-management skills
  • Ability to follow detailed instructions and established processes
  • Demonstrated willingness to ask questions, seek clarification, and continuously learn
  • Customer-service oriented with a collaborative mindset
  • Comfortable working with tight accounting deadlines and flexible during peak periods (e.g., month-end)
  • Professional, reliable, and discreet with sensitive information
  • Ability and willingness to work full-time in-office in Calgary
