Job description:

We are currently seeking a detail-oriented and organized individual to fill the role of Receptionist / Administrative Assistant. You will be the first point of contact for our clients and visitors, representing our company with professionalism and courtesy. You will also provide essential administrative support to various departments, contributing to the overall efficiency and success of our office.

Responsibilities:

· Greet clients, visitors, and employees with a friendly and welcoming attitude

· Answer and direct incoming calls to the appropriate department or individual

· Enter job details into customer management system from emails and phone calls

· Manage the reception area, ensuring it remains clean, organized, and presentable

· Open and distribute incoming mail

· Handle incoming and outgoing mail, packages, and deliveries

· Schedule and coordinate interviews for prospective candidates

· Assist with scheduling appointments, meetings, and conference room bookings

· Maintain office supplies inventory and place orders as needed

· Assist with basic administrative tasks such as data entry, filing, and photocopying

· Coordinate travel arrangements and accommodations for staff

· Assist with organizing company events, luncheons, and other special occasions

· Enter job costs and maintain accurate records

· Order and manage business card inventory

· Prepare advertising ads and job postings

· Process credit card payments

· Review and enter timesheets for payroll

· Provide support to various departments as needed

Qualifications:

· High school diploma or equivalent

· Previous experience in an administrative role

· Proficiency in Microsoft Office suite and other relevant software applications

· Excellent communication and interpersonal skills

· Strong organizational and multitasking abilities

· Attention to detail and accuracy

· Ability to work independently and as part of a team

· Positive attitude and willingness to learn and adapt

· Previous experience with payroll, ROE's and working with Service Canada would be an asset
