Role Description
The ideal candidate will be organized, well presented, motivated, and passionate about the immigration field. Successful candidate will be responsible for, but not limited to:
- Reception: Answer phones, take messages, greet clients, information intake, calendar maintenance.
- Provide coverage for absent Immigration Assistants and assist immigration consultants.
- Prepare legal documents from written, oral and taped instructions and precedents.
- Prepare correspondence, faxes, documents, letters, retainer agreements, etc. using email instructions, copy typing and handwritten notes: using application software (Word, Outlook, Excel and Adobe Acrobat).
- Apply proofreading and editing skills to documents and correspondence.
- Assist the consultant with opening files, arranging meetings, scheduling hearing dates with government bodies and/or representatives, arranging travel and/or accommodations.

- Maintain bring forward systems to ensure follow up and receipt of requested materials/documents.
- Retrieve and manage mailed and faxed correspondence and forward same to the appropriate parties.
- General administrative duties.
The successful candidate must have the following education, experience and/or demonstrated skills:
- Post secondary diploma or degree.
- A minimum of 1-year previous immigration administrative assistant experience.
- Proficient in Microsoft Office with advanced skills in Word, Excel and PowerPoint.
- Familiar with Internet applications.
- Superior organizational skills and above-average attention to detail.
- Excellent interpersonal skills and ability to work collaboratively with both internal and external clients.
- Able to work under pressure, be flexible and adapt to changing situations easily.
- Able to juggle multiple priorities, meet deadlines and exhibit sound judgment all with minimal supervision.
- Immigration Practitioner Diploma/Certificate an advantage, The candidate will have excellent, communication and computer skills, ability to work under pressure. Should be smart, agile and a quick learner. Ability to speak/understand Hindi/Punjabi will be an asset.

- Proficiency in Microsoft Office Suite or other office management tools
- Knowledge of Canadian immigration processes and regulations is an asset
- Diploma or certificate in Legal Studies, Immigration Practice, or related fields is preferred
