Job Overview

We are seeking a highly organized and proactive Executive Assistant to support the CEO of our organization. The ideal candidate will possess strong administrative skills, excellent communication abilities, and the capacity to manage multiple tasks efficiently. This role requires a professional with experience in office administration, exceptional organizational skills, and proficiency in various software tools. The Executive Assistant will serve as a key point of contact for internal and external stakeholders, ensuring smooth daily operations and effective time management for the CEO.

Duties

  • Manage and maintain the CEO's calendar using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements.
  • Prepare, review, and proofread correspondence, reports, and presentations with attention to detail.
  • Handle incoming calls via multi-line phone systems with professionalism and courtesy, practicing excellent phone etiquette.
  • Assist with bookkeeping tasks using QuickBooks and perform basic data entry to support financial record-keeping.
  • Coordinate meetings by preparing agendas, taking minutes, and distributing follow-up materials.
  • Manage filing systems—both electronic and physical—to ensure documents are organized and easily accessible.
  • Support front desk responsibilities including greeting visitors and managing office supplies.
  • Utilize DocuSign for electronic document signing processes efficiently.
  • Provide exceptional customer service to internal teams and external clients or partners as needed.
  • Perform clerical duties such as photocopying, scanning, and mailing correspondence.

Experience

  • Proven experience as an Office Assistant, Administrative Assistant, or Executive Assistant supporting C-level executives.
  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook Calendar, Google Workspace applications, and multi-line phone systems.
  • Experience with bookkeeping software such as QuickBooks is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent typing speed along with data entry accuracy.
  • Familiarity with office procedures including filing systems, proofreading documents, and front desk operations.
  • Exceptional communication skills with professional phone etiquette.
  • Prior experience in customer service roles is advantageous. This position offers an opportunity to work closely with senior leadership in a dynamic environment that values professionalism, efficiency, and proactive support.

Pay: $55,202.46-$60,732.69 per year
