As our operations expand, we are hiring a permanent Finance & Administrative Assistant to help manage our daily accounting and administrative functions. This is a key support role that contributes directly to the strength of our financial operations as we continue to grow.
About the Role
The Finance & Administrative Assistant is responsible for day-to-day finance tasks and general administrative support across the organization. This is a finance-focused position suited for someone experienced in bookkeeping, accounting systems, and office coordination.
Reporting to the Director of Finance (remote) and overseen by the Director of Operations (on-site), this role provides essential support to our financial operations and broader team. During an upcoming maternity leave, the Director of Finance will remain part-time in a strategic capacity; the Finance & Administrative Assistant will manage daily accounting functions throughout that period and continue as a permanent team member beyond it.
Key Responsibilities
Finance and Accounting
- Own the invoicing and AR tracking process, ensuring timely billing and collection across all sales channels.
- Prepare and send customer invoices accurately and on time.
- Record all transactions in QuickBooks Online.
- Process supplier bills and schedule timely payments.
- Reconcile bank accounts, credit cards, and other balance sheet accounts.
- Support month-end close and assist with internal financial reporting.
- Maintain organized financial records for audits and tax filings.
- Monitor and help manage cash flow and payment schedules.
Payroll and HR Coordination
- Collect and verify employee timesheets for payroll processing.
- Maintain confidential employee and benefits documentation.
- Coordinate payroll timelines and reporting with the Director of Finance.
Administrative and Operations Support
- Maintain digital and physical filing systems using Microsoft 365 (SharePoint, OneDrive, Teams).
- Manage shared email inboxes, draft and send professional correspondence to vendors and clients.
- Communicate professionally by phone, email, and in person when coordinating with clients, suppliers, and team members.
- Support communication between finance, sales, and operations.
- Assist with administrative tasks such as scheduling, document formatting, and vendor forms.
- Help with day-to-day office coordination as needed.
Qualifications
Required
- 3–5 years of experience in bookkeeping, finance, or administrative support.
- Strong understanding of accounts receivable, accounts payable, and invoicing.
- Proficiency in QuickBooks Online or a similar accounting platform.
- Competency in Excel, including pivot tables and formulas.
- High attention to detail and accuracy.
- Strong organizational and time management skills.
- Ability to handle sensitive information with professionalism and discretion.
Preferred
- Experience working in a small business, start-up, or e-commerce environment.
- Familiarity with Shopify, ERP, or other integrated systems.
- An interest in Indigenous business, economic development, or social impact work.
Position Details
- Full-time, permanent position.
- On-site at our Edmonton International Airport office and warehouse.
- Reports to the Director of Finance (remote) and Director of Operations (on-site).
- Compensation: $22–$26 per hour, based on experience.
